Under the direction of the Deputy Fire Chief - Support Services, the Administrative Coordinator is responsible for the overall coordination and support of the various administrative duties involved with the Office of the Fire Chief. Primary responsibilities include: coordination of the administrative staff tasks and ensuring coverage for the office including vacation scheduling and unplanned absences; providing clerical and administrative support to the Chief and Deputy Chiefs; data management of the Records Management System; preparation of various types of reports and statistical data to support report generation; acting as recording secretary for assigned committees and meetings including scheduling meetings, preparing agendas; and handling confidential material as required by the Fire Chief.

Job Requirements
- Post-secondary diploma in public or business administration or a related discipline or an equivalent combination of education and experience preferably in an unionized environment.
- Demonstrated senior level administrative experience in a municipal or fire environment.
- Working knowledge of the various aspects of municipal government and applicable legislation and an understanding of the various levels of government and their relationship to the municipality, including regional, provincial and federal.
- Demonstrated ability to work as a team leader as well as the ability to work not only in a confidential manner but independently and with minimum supervision to meet deadlines and perform multiple tasks in a flexible and efficient manner.
- Demonstrated experience working and analyzing statistical data and the development of standardized reports as well as report generation.
- Excellent interpersonal, organizational, and written and verbal communication skills..
- Ability to multi-task and deal with conflicting priorities and deadlines.
- Demonstrated effective customer service skills and the ability to deal effectively with all levels of staff, the public and other government agencies, consultants in varying circumstances.
- Class “G” license in good standing required and reliable vehicle for use on corporate business preferred.
