Receptionist/administrative Assistant

Note: Contract Position / Not Employee
Building / Clinic hours are 9am-7pm Monday through Thursday and Fri/Saturday 9am-3pm. For this admin position, we are currently looking for someone available in-person for days/evenings and possibly some weekend hours. At times, we may need temporary coverage support when another admin needs time off:
Current Shift Available:
Mon/Tues 12pm-7pm
or
Tues / Thurs 12pm-7pm
Possible shifts opening up include:
Fri 9am-12pm
Fridays 12pm-4pm
Saturdays 10am-4pm
This in-person role will report to the Head Admin and Clinical Director.

Our therapists support people in moving through and beyond life difficulties and traumas experienced. Many of our clients come to our clinic for support in managing depression, anxiety, suicidality, grief/bereavement, managing bipolar disorder, relationship difficulties, sleep disruption or insomnia, and to improve overall functioning after a work-injury or motor vehicle accident.

To succeed in this role
You will rock this role if you possess excellent communication skills and the ability to lead and promote the vision of the clinic. You must be able to stay extremely organized, thinking 10 steps ahead, and the ability to see the big picture with an entrepreneurial mindset. You have a passion for helping others as you will be communicating directly with our clients.
QUALIFICATIONS:
2-3 years of experience in Client Care and Customer Service (preferably in a medical office at the front desk)
RESPONSIBILTIES:
Supporting Psychotherapists, Psychologists and Social Workers with client bookings, payments, administrating intake & consent forms, etc.
Maintaining Quality Assurance (follow up to payments, securing payment information, uploading secure documents, managing the booking software including schedules and treatments offered)
Maintenance of templates, manuals, and clinical files
Claims confirmations from Insurance companies
Dynamic, self-motivated individual with the ability to work independently, proactively and well under pressure
Strong communication skills, ability to communicate professionally and with compassion to clients with patience when dealing with challenging clients
Confidence to share ideas and constructive criticism to help us grow
Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure, meet deadlines and keep promises
Tech savvy (we are paper-less and everything is online)
Familiarity with Jane (online booking) platform and using Jane to create client profile, create forms, set up invoices
Familiarity with quickbooks and basic bookkeeping
An appetite for innovation and simplicity who is highly process oriented
Working autonomously comes easy to you but you also love collaborating with a talented team
Considerable experience using the Microsoft Office Suite, Google Drive Suite, Gmail, Dropbox, Mac, Windows in a work environment
