We are looking to hire an individual within our Calgary office with proven agility in a highly collaborative team setting who is conscientious, supportive and able to adapt to shifting priorities.

Reporting to the Director, Complaint Resolution Unit, this position performs a wide range of senior administrative and program support functions for the Complaint Resolution Unit team and requires maintaining a high level of confidentiality.

The Office and Program Administrator supports the Director, management, and 75 professional staff primarily focused on regulatory enforcement located in seven offices across the province, with mínimal supervision, exercising good judgment on day-to-day operations.

The position requires senior level administrative and program skills with a high level of attention to detail and accuracy in composing, formatting, and editing a variety of reports and correspondence prepared in accordance with established standards, and often required within tight deadlines, which may be required at varied senior levels of reporting such as Minister, Deputy Minister, ADM or equivalent, Executive Director.

Responsibilities include budget and expenditure monitoring; coordinating human resource information; accommodations planning; asset management, equipment, and systems support; contract administration; and staff travel arrangements; administrative processes, working in close collaboration with other offices such as finance, information technology, accommodations, human resources, and other stakeholders, as necessary. With mínimal supervision, the Office and Program Administrator provides a single point of contact for the Complaint Resolution Unit ensuring that internal and external communications are processed in a timely manner, and that client requests are responded to in accordance with the Employment Standards Code (Code) and other relevant legislation such as the Freedom of Information and Protection of Privacy Act.

The position also coordinates and follows up on action requests (AR's), and requests for information from the Minister, Deputy Minister, Executive Committee members, other departments, and various internal and external organizations.

The Office and Program Administrator also provides specialized program assistance, when needed, for the various areas within the Complaint Resolution Unit which includes providing administrative support as necessary, in the information systems support, records management, data entry and retrieval, financial processing, and other support duties, for Managers, Team Leads and Employment Standards Officers.

- Coordinate administration processes for all of Complaint Resolution Unit, including Action Requests and information requests.
- Provide senior administrative support, including liaison with Complaint Resolution Unit staff, Finance, Human Resources, Executive Director’s office, other Government officials, as well as the general public.
- Prepare, forecast, and monitor budget for Complaint Resolution Unit.
- Review financial reports, invoices, and approval forms for completeness, accuracy, and appropriate signatures.
