We are currently looking for an Administrative Support Specialist to join our growing company.

The Administrative Support Specialist will report directly to the Office Administration Manager.

**Responsibilities include**:

- Day-to-day calendar management for Division Director(s) including scheduling, responding to meeting requests, booking meeting rooms, preparing agendas, and monitoring monthly/quarterly/yearly Division Director(s) deliverables
- Point of contact in the absence of the Division Director(s) for internal and external clients, provides professional service and response to requests for information, redirecting inquiries to others as needed to ensure good client service
- Coordinates and services internal and external meetings, organizing agendas and other meeting materials, and attending meetings as needed to take notes
- Tracks and manages requests and approvals for Division Director(s), including but not limited to vacation, remote working, and home office equipment requests
- Assists Division Director(s) with professional membership renewals, tracking continuing professional development and registrations for training, conferences, seminars, and corporate memberships
- Completes and submits expenses reports on behalf of Division Director(s)
- Books travel for Division Director(s), Division Managers, and division as a whole
- Coordinates corporate events, socials and activities for the Division and Company as a whole
- Monitors and tracks division information relating to client policies, insurance requests
- Coordinates staff trainings as necessary
- Coordinates Health & Safety PPE for Division
- Backs up Office Admin Manager as needed
- Provides Reception back up as needed
- General admin such as typing, editing/formatting documents, reports, and specifications
- Other responsibilities as assigned

**Qualifications**:

- Degree or diploma in Office Administration
- 3-5+ years in office administrative roles
- Experienced in office management and daily operations
- Fully conversant with MS Office suite
- Excellent verbal and written communication skills
- Excellent organizational and time-management skills
