The Programs and Community Initiatives funded by the Calgary Police Youth Foundation focus exclusively on early intervention, crime prevention, risk reduction and education. In any given year, the Calgary Police Youth Foundation supports over 23, 000 children. We endeavor to enrich and improve every young life we touch. To achieve this goal, we are hiring a full time Coordinator, Events and Campaigns. This person will join our team and through their work, will inspire all Calgarians to get involved and support the Calgary Police Youth Foundation.

**Coordinator, Events and Campaigns**:
Reporting to the Senior Director, Community Engagement and in turn the Executive Director, Coordinator, Events and Campaigns is a key member of our team, with the responsibility of planning, organizing, and managing all the CPYF event inventory as well as providing administrative support to management. **Responsibilities**

**Inventory Control Duties**:

- Responsible for inventory tracking and accounting
- Organizing of campaign and other supplies (calendars, silent auction donations, community give-away donations, backpack, community engagement initiatives, and hamper supplies) ensuring appropriate storage with ready access to items and as required disposal of surplus stock
- Keeps accurate and current spreadsheets in a timely manner for supplies related to CPYF events.
- Sources vendors and prepares purchase orders for event supplies for approval by management
- Identifies merchandise and other items required to fulfil orders maintaining accurate inventory logs
- Communicate with suppliers to track and ensure timely delivery of orders
- Fulfilment of online merchandise orders
- Schedules couriers for inventory movement

**Event Duties**:

- Support 3rd party fundraisers with supplies required for their event
- Work with the volunteers supporting CPYF events ensuring volunteers are properly trained and have assigned tasks when on site assisting CPYF events
- Attend community events as a representative of CPYF and prepares CPYF information/display table
- Assemble prize/gift baskets to support CPYF events
- Transport event resources to community events CPS attend and which are funded by CPYF
- Manage all volunteers who support CPYF events and provide excellent communication, superior stewardship, and volunteer experience.

**General Administrative Duties**:

- Record guest details and RSVPs on spreadsheets (Excel) and ensures accuracy of contact details and guest special requests are updated in a timely manner
- Support preparation and distribution of thank-you letters, holiday cards and other communication with donors and volunteers as directed by management
- Contact donors as needed for updated content for CRM
- Coordinates mailings and shipments as required by management
- Other admin duties can include scheduling meetings, proofreading documents, note-taking, filling envelopes for campaign materials, and other basic admin tasks.

**Requirements**:

- Event management experience is an asset for this position
- Demonstrated ability to work in a demanding environment with multi-faceted demands and deadlines.
- Able to multi-task on concurrent critical deadlines
- Initiative-taker, able to problem solve, maintain a positive attitude under pressure, and to work cooperatively with fellow team members, Calgary Police Service, volunteers, and donors.
- Must have a strong working knowledge of Microsoft Word, Excel, Outlook
- Meticulous with excellent written and verbal communication skills.
- Able to work a flexible schedule including evenings and weekends as required.
- Ability to collaborate well with people and sensitive to the needs of children and families.
- Absolute care to customer service
- Must be able to maintain strict confidentiality
- A collaborator that takes pride in getting the job done
- Excellent attention to detail along with outstanding organization and planning skills.
- Some travel will be required to attend meetings and/or events.
- Must be willing to work weekends and or evenings as required
- A valid driver’s license and use of personal vehicle for some business is required. Some heavy lifting, up to 25 lbs is required with this position.
