It’s where kids can be kids, and families can be families—engaging in camp-inspired community, in-hospital, and overnight camp programs, at no cost to them. As a privately funded organization, Campfire Circle donors make thousands of life-changing experiences possible for Campers throughout the year, all across Ontario.

**THE OPPORTUNITY**

Campfire Circle is currently seeking an Administrator, Events to work alongside our signature events team. Reporting to the Associate Director, Events, the Administrator, Events will help support the signature, engagement and partnership events including, but not limited to Sporting Life 10K, R2//NYC & Tour d’Epicure cycling events, open houses, and other partnership and engagement events as assigned. They will foster a donor-centered attitude and culture of philanthropy, represent Campfire Circle at meetings and events to support fund development, and support the Development Department’s vision to advance the profile of Campfire Circle to donors, prospects and other stakeholders.

The Key Accountabilities of this role include, but are not limited to:
**1. Fundraising & Engagement Events**:

- In collaboration with the Events team, provide support in execution and to fundraisers, donors, and participants in all signature and partnership events including but not limited to: Sporting Life 10K, R2//NYC, Tour d’Epicure, Bonfire Bash, Open Houses, Braid Collective, engagement events and volunteer days.
- Provide support for assigned signature, partnership, and engagement events (meeting minutes, RSVP tracking, metrics tracking for peer to peer fundraising events, etc.)
- Lead the oversight of Project Management software (Wrike) within the Events Team tracking of events activities, progress and project upload.
- Provide support in all external event communication plans including but not limited to list management, deployment scheduling and collaborating with internal teams.
- Co-lead the supply management including sourcing, packing and unpacking for and events
- Serve as the main point of contact for assigned external contacts
- Work with the Events team to manage all prize items, gift-in-kind donations, and event materials including maintaining an up-to-date inventory and re-ordering supplies as needed
- Coordinate assigned logistics projects to contribute towards the events, including playing a key role in the event set up and execution. Projects to vary by event.
- Prepare and pack event collateral; handouts, stewardship items, signage, activations to support signature, partnership and engagement events

**2. Administration**:

- Provide support in storage organization for each event and work with team on effective storage and space management to ensure spaces remain clean, safe, and work-efficient.
- Coordinate all Event team mailing and deliveries including, but not limited to: thank you letters, recognition items, prize packages, event supplies, and miscellaneous packages.
- Update Raisers Edge with all event details, stakeholder updates and call reports
- Support in donor/fundraiser outreach and thank you calls
- Provide administrative support to the Associate Director, Events and Senior Development Officer, Events as assigned.

**ABOUT YOU**

**QUALIFICATIONS**
- Required Criteria: _

a) Minimum 1-2 years’ experience in fundraising/non-profit environment, and/or in event planning.

b) Strong verbal and written communication skills.

c) A proven ability to work independently with the flexibility to take on a wide variety of assigned duties and projects.

d) A demonstrated ability to work collaboratively in a team environment.

e) A demonstrated ability to organize work, set priorities, meet deadlines and work under the pressure of time constraints.

f) Detail oriented with great organizational skills.

g) Computer literacy in Microsoft Office (Word, Excel and PowerPoint).

h) Valid Canadian passport and the ability to travel to the United States.

i) In accordance with our mandate of creating a caring and safe environment for ill children and their families, we require attestation of childhood vaccinations, updated Police Record with Vulnerable Sector Screening, and proof of full vaccination against COVID-19 for all of our staff. We also require that all staff be currently eligible to work in Canada.

j) Clear police reference check and vulnerable sector screening

k) Current G2 or G class driver’s license and the ability to be covered by camp’s insurance policy.
- Advantageous Criteria: _

a) Post-Secondary education in event management and/or fundraising

b) Working towards CRFE designation

c) An understanding of the power of camp

d) Demonstrated commitment to volunteerism or volunteer sector
