Department of Earth and Planetary Sciences

Position Summary:
Under the direction of the Chair of Earth and Planetary Sciences (EPS), Faculty of Science, the Communications Administrator, will be responsible for organizing and implementing the Department’s recruitment and outreach activities to increase undergraduate recruitment, enhance visibility of academic activities and generate awareness of and interest in Earth Sciences. Responsibilities include, but are not limited to, undergraduate student recruitment, assisting with the development of an outreach plan for the unit, maintaining the department’s communications and online presence, overseeing promotional activities, coordinating events, and undertaking special projects pertaining to the activities of the unit.

Major responsibilities:
- Assist with the planning, development and implementation of recruitment and outreach initiatives for EPS to reach Quebec CEGEPS and/or Secondary Schools, with the goal of raising awareness of the societal relevance of Earth Science, enhancing the visibility of EPS, and promoting degree programs in EPS (Earth and Planetary Sciences) and ESS (Earth System Sciences).- Organize, implement, and evaluate EPS recruitment and outreach events by liaising with other University outreach units, assessing needs and appropriate logístical arrangements, selecting and liaising with suppliers/service providers, arranging for event publicity and promotion, conducting post-event evaluations, compiling data and preparing reports to inform future planning.- Assist the unit in developing, planning and implementing its overall internal and external communications and branding. Promote EPS alumni relations and public relations.- Construct and present communication materials to support the recruitment and outreach activities of the unit.- Work closely with EPS academic staff and the Communications Strategist on public media, stories and requests, identifying in-house experts, and developing key messages and story pitches.- Responsible for the maintenance of content on the departmental website. Monitor web analytics/metrics and make recommendations based on findings.- Keep EPS presence current with digital platforms (Facebook, Twitter, Instagram and other emerging and future social media platforms). Create and maintain social media content for student engagement, recruitment and alumni engagement.- Collate information to describe career paths in Earth Science to prospective students based on literature/web reports and alumni experiences.- Prepare and administer recruitment and outreach event budgets, ensuring costs are within budget (e.g. The Wares Distinguished Speaker Series, EPS Open House).- Attend EPS Outreach Committee meetings with faculty and students to organize community efforts and projects.- Serve as a liaison to foster partnerships between the University and industries where students are hired to promote local job opportunities for graduating students.- Collaborate with other outreach programs in the Faculty of Science (e.g., Science Outreach Program Advisor, Redpath Museum, Chemistry, Physics, etc.).- Perform other related duties as required.

Other Qualifying Skills and/or Abilities

Undergraduate degree in an Earth Science related field is an asset. Solid understanding of Earth Sciences. Experience communicating Earth Science concepts to a wide range of people including students in secondary school, CEGEP and at the undergraduate level. Experience in public speaking tailored to different audiences (adult, high school and/or CEGEP student, etc.). Strong knowledge of social media (Facebook, Twitter, Instagram, etc.). Strong problem-solving and organizational skills, diplomacy and proven ability to take initiative. Demonstrated ability to prioritize, multitask and meet deadlines. Proven interpersonal skills with a strong sense of professionalism, ability to build constructive and effective relationships in an academic setting. Experience organizing and planning events. Client-focused and service-oriented, with a proven ability to interact with people at all levels, including students. Experience in maintaining websites. Demonstrated ability to work in a PC environment with strong knowledge of PowerPoint, Word, Excel, Outlook, etc. Knowledge of French and English. McGill University is an English-language university where day-to-day duties may require English communication both verbally and in writing. Fluently bilingual in English and French.

Duration: One-year contract with possibility of renewal
