**Job Title**:Administrative and Communications Coordinator

**Hours**:35 hours, Monday through Friday

**Salary**:Commensurate with experience

Reports to Office Manager and liaises with Communications Committee Convenor

**Job Qualifications and Skill Sets**
- Demonstrated interpersonal skills
- Excellent written and verbal communications skills
- Proficiency in English and French (written and spoken)

Excel, Google Docs, Wordpress, Instagram, Mail Chimp)
- Proficiency in managing a database of photos and videos, and the ability to manipulate images and videos to meet the requirements of each project
- Knowledge of layouts, graphic fundamentals, typography, print and web
- Attention to detail
- DEC III or equivalent and 2 years related experience

**Responsibilities**
- Answer phone call inquiries, receive visitors to the Church
- Prepare orders of service for weekly worship and special services as needed (i.e., Christmas,

Easter, weddings, funerals)
- Receive requests for the aforementioned services, collect pertinent information, brief ministers, prepare and submit mandated documentation
- Ensure proper functioning and servicing of office equipment (i.e. photocopier, computers,

O.W.L.)
- Maintain stock of office supplies (i.e. paper, letterhead, envelopes)
- Maintain hard copy and electronic filing systems for Church records
- Assist in coordinating mailings (invoices and bills, donation tax receipts, letters to congregation, etc.)
- Oversee the preparation of digital and print communications (i.e., AGM Report, Church

Directory, Inside-Out, Presbyterian Connection, Advent bookmarks, Church promotion flyers)
- Assist with Social Media Campaigns
- Maintain Social Media Presence by responding to messages and inquiries received
- Maintain website and web calendar
- Assist Communications Committee with the development of connections with local media

(Public Service Announcements)
- Assist Office Manager, ministers, and Committee Chairs with different functions

**Qualifications et compétences requises**
- Habiletés interpersonnelles confirmées.
- Excellents aptitudes à communiquer à l’oral et par écrit.
- Maîtrise du français et de l’anglais (écrit et oral).

Microsoft Word, Excel, Google Docs, Wordpress, Instagram, Mail Chimp).
- Expérience en gestion d’une base de données de photos et de vidéos, et capacité à manipuler images et vidéos en fonction des exigences de chaque projet.
- Connaissance des principes de mise en page, de graphie, de typographie, d’impression et d’Internet.
- Minutie et attention aux détails.
- Diplôme d’études collégiales de niveau III ou équivalent et 2 années d’expérience connexe.

**Responsabilités**
- Répondre aux demandes de renseignements par téléphone et accueillir les visiteurs à l’Église.
- Spécifier le déroulement du service pour les cultes hebdomadaires et les services spéciaux (p. ex., Noël, Pâques, mariages, funérailles).
- Accueillir les requêtes concernant les services susmentionnés, recueillir les informations pertinentes, informer les ministres du culte, préparer et soumettre la documentation prescrite.
- Veiller au bon fonctionnement et à l’entretien du matériel de bureau (p. ex., photocopieuse, ordinateurs, système OWL.).
- Maintenir l’inventaire des fournitures de bureau (p. ex., papier, matériel avec en-tête, enveloppes).
- Entretenir les systèmes de classement papier et électronique utilisés pour les dossiers de l’Église.
- Aider à la coordination des publipostages (factures et comptes, reçus fiscaux pour dons, lettres envoyées à la congrégation, etc.).
- Superviser la préparation des communications numériques et imprimées (p. ex., rapport de l’AGA, registre de l’Église, _Inside-Out_, _Presbyterian Connection_, signets de l’Avent, brochures de promotion de l’Église).
- Participer aux campagnes sur les réseaux sociaux.
- Assurer une présence sur les médias sociaux en répondant aux demandes de renseignements et aux messages reçus.
- Maintenir le site Web et le calendrier virtuel.
- Soutenir les ministres du culte dans la création et l’envoi de bulletins électroniques hebdomadaires.
- Soutenir le Comité sur les communications au niveau du réseautage avec les médias locaux

(communiqués d’intérêt public).
- Soutenir la gestionnaire de bureau, les ministres du culte et les présidents de comités à différents titres.

**Salary**: $32,458.30-$40,000.00 per year
