**General Job Description**

These tasks include (but are not limited to)
- Gathering and organizing data
- Reporting information to team members
- Managing accounting functions (bookkeeping, invoicing)
- Information systems management
- Following up outstanding tasks with personnel
- Administering outstanding customer orders.
- May occasionally handle special assignments.

Our office manager will work independently and as part of a team, and is expected to consult with fellow coworkers on a continuous basis.

**Essential Job Functions & Responsibilities**

1. Gathering and organizing information on all in-house activities, processing the gathered data, and relaying the information to fellow team members effectively.
2. Managing and updating in-house information systems on an on-going basis.
4. Entering order/accounting data into system using accounting computer software (QuickBooks Online.)
5. Managing Receivable and Payable accounts.
6. Enabling customer work orders to be completed in a timely manner.
7. Following up Overdue Receivables.
8. Issuing purchase orders as required, and following-up on status as necessary.
9. Follow-up status of outstanding work orders with fellow employees.
10. Controlling Payroll Functions for all employees.
11. Following the health and safety rules as outlined by management.
12. Ensuring a clean, healthy, and efficient workplace by acting according to rules set out by management.
13. Performing related duties as assigned by management.

**Required Skills, Knowledge, & Abilities**

1. Training and experience within the field of Administrative and Office Management.
2. Strong Organizational Skills.
3. Team-oriented approach to the workplace.
4. Strong communication and interpersonal skills, both verbal and written.
5. Strong customer service skills, and able to demonstrate tact in dealing with difficult or demanding customers.
6. Considerable knowledge of and experience with QuickBooks and/or QuickBooks Online software is a must.

7. Flexiblity in dealing with changing job demands and last minute requirements.
8. Experience with Microsoft Office programs, particularly Word and Excel.

9. Strong judgement, problem solving, and decision-making skills.
10. Ability to express ideas/findings clearly in both oral and written communications.
11. Ability to coordinate and complete assigned activities independently.

**Office Hours: 7:30am to 4:00pm - Monday to Friday**

We are located at **Steeles Ave W **and **Pine Valley Dr **on Road In Woodbridge. Accessible by public transport: a **15-20-minute bus ride **from Pioneer Village Subway Station in North York and an **5-10-minute bus ride **from Highway 407 Subway Station in Vaughan.
