Job Summary
TYLin is seeking an Office Administrator who will be responsible for overseeing the administrative functions within TYLin’s North Toronto operations. They will lead and coordinate administrative activities while also supporting the Toronto area leadership team. A major component of this role is being responsible for administrative functions for the Toronto office while also being versatile and reliable to support the many duties required for effective day-to-day operation of the business.
The role will include coordination with counterparts in other TYLin offices throughout the Toronto area to ensure consistency and continuity of administrative functions.
Responsibilities & Qualifications
- Liaises with corporate services on all templates and supports implementation of template changes across all document types within the local office.
- Manages maintenance of office equipment, furnishing and other company owned property. Acts as a point of contact for office building management.
- Manages office supplies, kitchen and personal protective equipment inventory orders. Receive, sort and distribute daily mail/deliveries. Ensure availability for outgoing mail/deliveries.
- Assists with onboarding and offboarding of local staff.
- Assists with organization and coordination of office and client events, and participation in office social committee.
- Assistance and support for key corporate initiatives such as diversity, equity, and inclusion programs, corporate social responsibility programs, and other programs as needed.
- Undertake activities as required to ensure office health and safety requirements are being maintained, including participation in health and safety committees, periodic training requirements, and reporting. Assists office leadership with extra ordinary announcements and operation plans, for example COVID policies.
- Responsible for administration filing structure. Document preparation and formatting assistance to staff, ensuring they are fully accessible under AODA guidelines.
Qualifications:
- Minimum 3 years of work experience in an Office Administration role.
- Strong working knowledge of Microsoft Office suite (Word, Excel and PowerPoint)
- Knowledge of Adobe InDesign and/or Deltek will be considered favourably.
- Word processing experience with an accurate typing speed.
- Strong verbal and written communication skills.
- Able to produce quality documents quickly and to company standards using templates.
- Highly proactive, organized, able to multi-task and prioritize to meet deadlines.
- Team player who takes initiative, thinks critically, asks questions, and is responsible for their own contributions.
