**Position Title**:Administrative Assistant - Tanklines Dispatch
**Work Location**: Nisku
**Department**:Tanklines
**Title of manager this position reports to**:Tanklines Transportation Manager
**Work Rotation (if applicable)**: Five days on, two days off
**Work Days / Hours**: Monday to Friday, 8:00 am to 4:30 pm - ½ hour unpaid lunch
**Purpose of Role**: The Administrative Assistant is responsible for providing administrative and clerical services to the Tanklines Dispatch group in the support of effective and efficient administrative operations.
**CORE RESPONSIBILITIES**
- Train for and understand dispatch to periodically step in and cover during absences;
- Ensure that drivers are turning paperwork in on time;
- Assist with maintenance records of lease operators;
- Assist dispatch with scheduling fleet maintenance with the maintenance department;
- Daily spot check of drivers’ daily log and DVIR;
- Filing of drivers’ log and DVIR;
- Verifying entries made into the database for accuracy;
- Daily preparation of customer reports;
- Operate a variety of office equipment, including computers, copiers, scanners and adding machines;
- Perform related duties as required.
**REQUIRED QUALIFICATIONS, WORK EXPERIENCE, SKILLS**
- Minimum three years office administration experience;
- Experience in dispatching liquid tankers would be considered an asset;
- Geographic knowledge of Alberta;
- Knowledge of Provincial Hours of Service;
- Knowledge of Microsoft Office (Excel skills must be superior);
- Good internal and external communication;
- Office administration would be considered an asset;
- Ability to maintain a high level of speed and accuracy in preparing and entering information;
- Ability to adapt to a face pace environment, meet deadlines and changes in daily dispatch;
- Experience with TMW would be considered an asset.
**PHYSICAL REQUIREMENTS / WORK CONDITIONS**
- Office environment includes long hours of sitting and using computers or office equipment.
- Periodic light lifting of supplies, materials, files and file boxes.
