Shouldice Hospital is seeking a highly skilled and organized Front Office Coordinator.
**Duties and Responsibilities**
- Observe the daily operation of the walk-in clinic and collaborate with the Front Office Supervisor to optimize patient flow and customer satisfaction.
- Receive all patient charts following the admission process. Note any cancellations and changes. Identify and record the examining doctors for each patient on this list to be processed by the accounts department. Enter all cancellations and changes to produce the final daily operating list. Print and deliver this list to the nursing station.
- Gather and enter all statistics required by management daily: admissions study, non-Ontario patients admitted, clinic wait times and volume, GP examination tally, walk-in clinic surgeon examination tally.
- Complete and fax any documents requested by the clinic doctors. Aid and support the clinic doctors as needed.
- Attain proficiency and remain current on the daily tasks of and be available for coverage on any function in the walk-in clinic and admissions area.
- Other duties as assigned.
**QUALIFICATIONS AND SKILLS**:
- Exceptional customer service skills and experience.
- Proficient in MS Office (Word, Excel, Outlook) and familiarity systems.
- Attention to detail and a commitment to maintaining confidentiality.
- Excellent communication, interpersonal and organizational skills.
- A team player, able to both take directions and work independently.
- Ability to multi-task.
- Ability to work in a hectic environment.
- Identify and inform the Front Office Supervisor of any potentially volatile situations in the clinic. Provide support to clinic staff when dealing with difficult patients.
- Provide the Booking Officer with assistance and relief as needed.
- Maintain the surgical cancellation list and backfill any cancellations to ensure that the maximum number of operations are scheduled every day.
**Requirements and Qualifications**
- 2 years of previous experience in administration
- Strong analytical and time management skills
- Proficient computer skills, including Microsoft Office and Excel
- Able to multitask, prioritize, and manage time efficiently
