**Position overview**
**Duties and responsibilities **include **b**ut **not limited to**:
**Office Administration& Organization**
- General administrative support to various departments.
- Assisting in managing the Office Budget.
- Work closely with IT to ensure meeting rooms are ready for meetings.
- Manage inventory for office supplies, furniture, and equipment, placing orders as necessary.
- Develop and implement office policies and procedures to improve efficiency.
- As a member of the JHSC, ensure the office maintains compliance and identify improvement areas.
- Other administrative duties as needed.
**Vendor & Resource Management**
- Act as the primary point of contact for office vendors (e.g. cleaning services, Shred-It).
- Negotiate and manage contracts to secure cost-effective agreements with office service providers.
- Coordinate with facilities management on repairs, maintenance, and other building-related issues.
**Team Support & Event Coordination**
- Plan and organize office events, team-building activities, and company meetings.
- Be a member of the culture committee, The Eunity Crew, creating events and volunteering initiatives.
- Support employee onboarding by setting up workstations, coordinating equipment, and preparing welcome materials.
- Facilitate communication within the office by managing information distribution and notices.
**Qualifications**
- A post-secondary diploma, or equivalent.
- 3+ years of related experience as an Administrative Assistant, Office Coordinator, Office Manager, or in a similar role.
- Full proficiency in MS Office (Word/Excel/PowerPoint).
- Previous experience with Concur, Jira, and Adobe an asset.
- Strong attention to detail and problem-solving ability.
- Time management skills and the ability to multitask and prioritize work.
- Ability to work independently and handle changing needs.
- Enjoy working in a fast-paced environment.
- Able to lift at least 50 lbs.
- The ability to be in the Oakville office 3 days a week (additional days as needed).
