**Executive Administrative Assistant to Senior Wealth Manager**
**Job Summary**
**What will you do?**
- Prepare client meeting and review materials, correspondence and reports;
- Utilize contact management system for daily task management and record keeping;
- Take responsibility for scanning and filing all correspondence and material;
- Prepare and send physical letters in the mail, newsletters and electronic mail;
- Review and process incoming mail by scanning or distributing to team members;
- Answer and make telephone calls in a professional, polite and positive tone;
- Monitor stationary, office supplies and take responsibility for ordering new supplies;
- Prepare and send physical cards and gifts as instructed on a monthly and daily basis;
- Prepare account opening documentation;
- Follow up on documentation with clients or back office as required;
- Take responsibility for protecting and maintaining confidential documents; and
- Other administrative duties as assigned.
**What do you need to succeed?**
- Must-have_
- A post-secondary education;
- Administrative experience;
- Strong Microsoft Office Suite skills;
- Meticulous attention to detail;
- Excellent time management and organizational skills;
- Demonstrated skills in providing professional, warm, and friendly service; and
- Exceptional verbal and written communication skills in English.
- The Canadian Securities Course (CSC) and the Conduct and Practices Handbook Course (CPH) designations, or a willingness and ability to complete within the first year of employment.
- Nice-to-have_
- Financial industry knowledge;
- 1 to 2 years investment industry experience;
- Proficiency in Microsoft PowerPoint, Social Media, Adobe Acrobat; and
- Enthusiastic, caring, committed and kind spirit.
