We are seeking a committed, compassionate, trauma-informed professional to join our team as HR & Administrative Lead. **Job Summary**:
The **_HR & Administrative Lead_**, supervised by Kilala Lelum’s Executive Director, will provide guidance and oversight to the positions that help employees to navigate their professional needs and responsibilities while working towards their professional goals. This role will work closely with KL’s Leads and Managers to obtain a cross-organizational understanding of the ways each team can be supported and strengthened. We are seeking an individual with a background and/or strong interest in grounding our organization, leaders, and practices within an Indigenous framework, as well as principles of anti-racism, decolonization, diversity, and inclusion.
The HR & Admin Lead works collaboratively with KL’s Executive Director and oversees the other administrative positions, including Admin Assistants/Coordinators and HR Assistants/Coordinators.
**Responsibilities**:
**_ As Lead of the HR & Administrative Team:_**
- Work collaboratively with Kilala Lelum’s Leads and Managers to:
- Support their respective teams/programs in areas such as navigating conflict, facilitating growth (through hiring/expansion), and fostering employee development (through reviews/check-ins);
- Help organize additional training/learning opportunities for Leads, Managers, and other staff;
- Access and utilize appropriate resources, including KL’s HR Manual, Employee Handbook, and Community Agreements.
- Supervise day-to-day operations of the HR/Administrative team, including its Assistants, Coordinators, and Managers; schedule and facilitate team meetings.
- Serve as point person for staff as necessary (in conjunction with HR Coordinators); provide support, answer questions, address concerns; direct staff to appropriate resources/educational materials.
- Coordinate external support for staff, including clinical supervision and coaching/debriefing.
- Serve as primary point of contact for employment-related contacts, including Service Canada, WorkSafeBC, and Canada Revenue Agency.
- Serve on Finance Committee and contribute to monthly meetings.
**_ As a member of the Kilala Lelum Leads Circle:_**
- Participate in monthly Kilala Lelum Leads meetings and contribute to discussions and decision-making relevant to the overall operations and development of the organization. This includes identifying and anticipating needs and opportunities for growth, change, and/or responses to maintain the wellness of the organization and alignment with our goals and values.
- Contribute to the development and implementation of systems, policies and procedures, and new initiatives relevant to the overall operations and functioning of Kilala Lelum.
- Support staff wellness initiatives, in collaboration with the Executive Director, Elders, and Leads team. This includes:
- Review, enhance, and implement Kilala Lelum’s policies, procedures, and resources to support staff wellness;
- Provide guidance and support to other Leads and Managers on team and staff wellness;
- Contribute to planning staff wellness initiatives.
- Model strong self awareness, compassion, humility, and thoughtful communication and conflict resolution skills. Work to bridge gaps in understanding and bring people together around our shared purpose and values.
**Qualifications & Skills**:
- Bachelor’s degree or certificate in HR, Business Administration, Management, or related field.
- Willingness to listen actively, offer constructive feedback, and support problem solving; desire to spend time with and connect with staff, both 1:1 and in group settings; commitment to engaging empathetically, non-judgmentally, and through a trauma-informed lens.
- Exceptional time, task, and resource management skills.
- Experience overseeing a busy, dynamic team that serves the needs of diverse, multifaceted programs simultaneously.
- Familiarity with basic Human Resources, particularly as they relate to Indigenous-led organizations, the nonprofit sector, and/or healthcare.
- Willingness to prioritize and model effective communication (both in person and in writing).
- Experience in a community setting that serves Indigenous community members and/or communities with multiple barriers to health and wellness equity, preferably within the DTES.
