- **Responsibilities**:
As a Business Operations & HR Administrator at Hexafusion IT Solutions, you will be integral to our core operations and human resources functions. Your duties will span administrative tasks, HR-related responsibilities, and financial management, significantly contributing to the efficiency and effectiveness of our team.
**Standard Responsibilities**:
- Managing various forms of correspondence.
- Organizing meetings and managing calendars.
- Maintaining both digital and physical files.
- Data entry and database management.
- Greeting and assisting office visitors.
- Assisting in preparing reports and presentations.
- Coordinating travel arrangements.
- Processing expense reports and managing budgets.
- Providing support during meetings.
- Managing office supply inventory.
- Liaising with other departments and external contacts.
- Assisting with event planning.
- General support to staff as needed.
**Extended Responsibilities**:
- Monthly recounting of client IT usage and invoice recalculations.
- Overseeing purchasing for the office.
- Managing vendor invoices in QuickBooks Online.
- Providing comprehensive bookkeeping and banking activities.
- Handling postal and courier duties.
- Coordinating company events and meetings.
- Direct communication with clients and suppliers.
- Managing internal communications.
- Undertaking research and analysis tasks.
- Managing databases and CRM systems.
- Maintaining and organizing the office environment.
- Adapting to evolving responsibilities.
**HR Responsibilities**:
- Assisting with the recruitment process, including posting job ads, screening resumes, and scheduling interviews.
- Onboarding new employees and conducting orientation sessions.
- Maintaining employee records and ensuring compliance with data privacy regulations.
- Assisting in the development and implementation of HR policies and procedures.
- Coordinating employee performance review processes.
- Handling employee inquiries regarding HR policies and procedures.
- Assisting in managing employee benefits and payroll.
- Contributing to employee training and development initiatives.
- Facilitating internal communication regarding HR updates and policies.
- Assisting with employee engagement activities and staff welfare programs.
**Key Requirements**:
- Valid work authorization in Canada.
- Successful completion of a criminal background and credit check.
- Proficiency in Microsoft 365 and QuickBooks Online.
- Strong organizational, time management, and multitasking skills.
- Excellent communication and interpersonal abilities.
- Basic knowledge of HR principles and best practices.
- Ability to handle confidential information with discretion.
- Willingness to undertake HR-related training and professional development.
