Administrative Coordinator, Corporate Affairs, Strategy & Sustainability

Are you interested in supporting the Corporate Affairs, Strategy & Sustainability department during a unique and transformative time at the LCBO? Reporting to the Chief of Staff and Vice President of Sustainability, Strategy and Corporate Affairs, the Administrative Coordinator, will provide a professional administrative framework to support multiple high-level confidential administrative and operational activities to the broader departments. You will coordinate and execute the department's expenses while monitoring annual budgets and preparing reconciliation reports. You will also maintain and coordinate numerous meetings and special initiatives and oversee onboarding of new employees.

About the Role
- Maintain all department expenses and financial information; review and process all invoices into the Oracle system with accuracy and in a timely manner.
- Prepare, analyze, monitor all department budgets, financial and reconciliation reports.
- Liaison with vendors and suppliers to ensure payment processes are clear and invoices are processed, and payment is issued within payment terms.
- Process any procurement documents including RFPS and Single Source Requests.
- Maintain updated charity financial information with the finance department and other vendor profile information.
- Attend meetings to record minutes; transcribes minutes into an appropriate format; distributes to attendees; performs any necessary follow-ups; assists in preparing for meeting by gathering relevant data and creating reports and presentation slides.
- Coordinate travel arrangements for the department, by liaising with appropriate LCBO staff to finalize travel reservations.
- Coordinate any ad-hoc requests through Workday and Ask HR systems for the department teams.
- Coordinate numerous ad-hoc administrative assignments, projects and special initiatives and support events as requested for Chief of Staff and 3 Directors within the division.

About You
- Post-Secondary education, diploma, or degree.
- Several years of experience in supporting executives; senior level leaders within the organization.
- Highly developed organizational and time management skills to manage conflicting deadlines and multiple priorities in a fast-paced environment.
- Superior attention to detail.
- Solid spelling, grammar, and proofreading skills.
- Strong interpersonal skills.
- Ability to communicate effectively, both verbally and written, at all levels of the organization, including senior levels.
- Ability to meet numerous competing demands and deadlines and work effectively under pressure.
- Ability to work independently with sound judgement, diplomacy, tact and confidentiality.
- Ability to adapt to different work styles and needs.
- Intermediate knowledge of computer processing, including Outlook, Word, PowerPoint, Excel, Teams, Oracle, and SharePoint including a high skill level in the creation of engaging and highly visual presentations.
- Ability to independently research, assess complex topics or options, and make sound recommendations.
- An understanding of budget reports and their preparation.
