Vaughan, Canada Campisi LLP Full time

**General Responsibilities**
- Greet clients and visitors and inform Campisi employee of their arrival;
- Provide coffee, tea or water when guests arrive;
- Answer all incoming calls on a multi-line telephone system and transfer to appropriate party;
- Provide appropriate answers to caller’s inquiries and if assistance is needed, transfer to appropriate party;
- Load printers and photocopiers with necessary paper products at the beginning of every day and ensure supplies are maintained throughout the day;
- Send outgoing faxes for legal team;
- Scan and sort incoming faxes to addressed employees;
- Daily monitoring of the computerized fax lines;
- Retrieve incoming mail and provide to Managing Partner;
- Managing outgoing mail by adding postage to outgoing mail and posting the postage costs to PCLaw;
- Scanning of all client related mail and inputting into a computerized document viewer;
- File management which includes the organizing of Client File Boxes, filing of new documents and ensuring Filing Room is optimally organized;
- Contacting, scheduling, and keeping track of outgoing mail courier services;
- Maintain the waiting area, meeting rooms, boardrooms, and office kitchen;
- Notify Office Manager when supplies (both office and kitchen) are running low;
- Other duties as assigned.

**Advanced Responsibilities**
- Assisting Lawyers, Paralegals and Law Clerks with:

- drafting legal documents and correspondence;
- Preparation and submission of claims forms, requesting and obtaining supporting documentation;
- Assist with trial preparation including preparing trial briefs, arranging for trials, summons to witnesses and scheduling experts;
- Identify, extract and post invoices to bookkeeping; requisition cheques; review client ledgers and pre-bills prior to settlement dates to ensure all invoices are accounted for.

**Qualifications**
- Strong Client Services mindset;
- Proficiency in Microsoft Office;
- Familiarity with a multiline telephone system, Time Matters, PCLaw, Primafact preferred;
- Ability to multi-task while paying attention to details;
- Able to work cooperatively within a team structure and foster a sense of teamwork with the broader office support staff;
- Demonstrate initiative in improving team productivity, and constant improvement in knowledge of law and procedure;
- Ability to lift boxes of up to 25 pounds;
- Ability to communicate in more than one language is a definite asset.
