Your Role in the Bigger Picture
As an **Office Administrator**, you’ll be the central hub ensuring our workplace runs smoothly, efficiently, and aligned with MLA’s mission and values. From coordinating office operations to supporting HR functions and event planning, you’ll play a pivotal role in shaping our company culture and empowering teams to thrive.
**Key RESPONSIBILITIES**
**Office Operations & Leadership**
- Oversee day-to-day office operations, ensuring efficiency and professionalism.
- Foster a positive workplace culture by supporting employee well-being, inclusivity, and collaboration.
- Provide direct front-desk coverage one day per week and manage scheduling.
- Ensure timely and organized use of tools like Asana to track office tasks.
**HR & Staff Coordination**
- Manage onboarding processes to integrate new hires smoothly into MLA’s culture.
- Oversee HR systems, such as BambooHR, ensuring compliance and accuracy.
- Assist hiring managers with recruitment logistics, including scheduling interviews.
- Keep office policies updated and aligned with organizational goals.
**Event Planning & Coordination**
- Plan and execute internal events, team-building activities, and sales gatherings.
- Manage all event logistics, including budgets, venues, and vendor negotiations.
- Design events that reflect MLA’s values, celebrate team achievements, and foster community.
**Sales Support & Administrative Assistance**
- Provide administrative support to sales leaders, including travel coordination and program logistics.
- Assist with document management, scheduling, and reporting.
**Financial Oversight**
- Manage budgets, expenses, and corporate credit card reports to ensure alignment with company objectives.
- Collaborate with the accounting team to review sales invoices and track expenses.
what we’re looking for
- 1-3 years’ experience in office administration, operations, or HR coordination (although not required, experience in the real estate/development industry is an asset).
- Experience with tools like BambooHR, Asana, or similar platforms is a plus.
- Exceptional organizational and multitasking skills, with an ability to manage competing priorities and deadlines.
- Amazing attention to detail and the ability to thrive in a fast-paced, dynamic environment.
- Superior time-management skills to work efficiently under pressure.
- Strong communication skills (both written and verbal) and a personable, outgoing attitude.
- A high level of professionalism, diplomacy, and tact in dealing with stakeholders.
- A collaborative mindset and ability to foster a positive team environment while producing results independently.
