The program administrator (PA) provides administrative and coordination services related to the educational activities in the department/division at the University of Ottawa / Ottawa Hospital (TOH). The PA works in collaboration with the program director(s) to support the Department of Obstetrics & Gynecology’s postgraduate medical education fellowship programs. The principle role of the PA includes the provision of administrative support to the department/division for specified educational programs. This includes but is not limited to, the trainee selection/recruitment process, the accreditation process, committee support, trainee teaching activities, maintenance of trainee files, resident/trainee support, and administrative support to the postgraduate director(s) and trainees. The PA must hold a proactive role in providing necessary tools and support to trainees throughout their training.

**Responsibilities**:

- College/University level degree or equivalent
- Three years previous administrative or education experience
- Health care or education environment or equivalent experience preferred
- Advanced Word, Excel, PowerPoint,Office 365 (including One Drive and Sharepoint), internet capabilities
- Effective listening skills
- Experience with coordinating and maintaining supervisor's schedules
- Exceptional organizational skills and ability to prioritize multiple tasks and responsibilities
- Excellent interpersonal and verbal communication skills required to interact with and relay messages to all levels of hospital staff, external contacts and general public
- Exercise initiative, sound judgment, tact and discretion in the performance of duties
- Excellent written communication skills required to support, draft and generate correspondence or documents related to activity or special projects
- Excellent problem-solving and decision-making skills required to deal with unexpected situations or issues
- Prior experience in meeting coordination and minute taking to support committees and meetings
- Discretion and sensitivity with respect to handling information and correspondence.

Preferred Qualifications:

- Previous work experience in TOH, Ottawa Hospital Research Institute or the University of Ottawa
- Bilingual (English and French)

PLEASE NOTE

Administrative staff are employees of the Department of Obstetrics, Gynecology and Newborn Care. The Ottawa Hospital (TOH) acts as the paymaster of our employees. Although our employees have offices within TOH, they are not employed by TOH.

**Salary**: $28.90-$33.75 per hour

**Education**:

- Secondary School (required)
