Reception & Tenant Services Coordinator

Triovest, one of Canada’s largest privately-owned commercial real estate companies, is seeking a Reception & Tenant Services Coordinator for our Calgary office. As the first point of contact for visitors and clients, you will play a key role in maintaining a professional and welcoming office environment. In this position, you will provide administrative support to our team and assist with a variety of tasks to ensure smooth day-to-day operations.
**KEY RESPONSIBILITIES**
- Greet and welcome visitors, ensuring they are directed to the appropriate team member or meeting room.
- Answer and direct incoming phone calls in a professional manner, taking messages and forwarding calls as necessary.
- Manage office and kitchen supplies and equipment, ensuring stock levels are maintained and orders are placed as needed.
- Coordinate meeting room bookings, including setting up rooms with necessary equipment and refreshments.
- Assist with scheduling and organizing meetings or events, including preparing materials and coordinating logistics.
- Handle incoming and outgoing mail, couriers, and deliveries and related invoicing.
- Maintain the cleanliness and organization of the reception area, kitchens and common spaces.
- Assist with file management and the archiving of files.
- Manage the MRI Angus Tenant Work Order system, assign work orders, follow up on tenant requests with tenants and operators, and ensure timely completion in line with KPIs.
- Provide MRI Angus reports to Managers on a proactive schedule and as requested.
- Maintain tenant and property contact records, including Tenant Manuals.
- Assist property management team with creating tenant memos.
- Assist with the coordination of tenant and community events.
- Administer the Tenant Insurance Certificate Program.
- Support Tenant Satisfaction Surveys and assist in implement resulting action plans.
- Provide administrative support to the property management team.
- Special projects and other tasks as assigned.
**QUALIFICATIONS & ATTRIBUTES**
- Previous experience in a receptionist or administrative role, ideally in a professional office environment.
- Experience in commercial real estate or property management is an asset.
- Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks affectively.
- Proficiency in Microsoft Office Suite.
- Experience with Yardi and MRI Angus is considered an asset.
- Ability to work independently and as part of a team, with a proactive and flexible approach to work.
- A positive attitude and ability to maintain a calm and professional manner in a busy environment.
- Ability to maintain confidentiality and handle sensitive information with discretion.
