The Opportunity

As a first point of contact for the students of AUArts, the Student Affairs Assistant provides information and assistance regarding programs, registration, and student accounts in accordance with established policies and procedures. The Assistant initiates and maintains student files and academic records; and inputs data with respect to student personal data, admission, registration, grading and graduation information. The Assistant prepares and drafts a variety of letters, documents and reports related to the operations of Student Affairs.

**Key Responsibilities**:

- Maintains and inputs data into the student records database in support of timetable development, registration, grading and graduation functions and generates reports and schedules.
- Maintains and enforces confidentiality of all student records in accordance with provincial legislation.
- Processes official transcript requests including production and arrangements for delivery.
- Assists in the verification of student funding eligibility status and signs student loans.
- Generates official confirmation of enrollment letters for student funding bodies. Assists in the verification of student funding eligibility status and signs student loans.
- Updates student program requirement checks for academic progression

**Qualifications**:
The following qualifications have been determined to promote likelihood of
success in the role. In alignment with the principles of inclusion, individuals with an alternative equivalent qualification may be considered.
- Post-secondary diploma in Business Administration or related area
- Minimum two (2) years’ administrative experience
- Experience in a post-secondary environment is an asset
- Experience with student information systems (i.e. Banner) is an asset
- Demonstrated proficiency with MS Office suite
- Excellent organizational skills with the ability to meet deadlines and provide information accurately and quickly upon request
- Excellent customer service and problem solving skills
- Excellent interpersonal skills; ability to work effectively in cooperation in a team environment
- Ability to maintain confidentiality and discretion and attention to detail while multi-tasking

As a member of the AUPE bargaining unit (Local 071/006), this temporary position falls under a classification 4 (Four). The starting annual salary is $47,168-$52,308 dependent upon skills, education and experience.
