Join our team as a People and Culture Coordinator, where you'll play a vital role in supporting various people programs and initiatives at the City of Victoria. Reporting to the Director of People and Culture, you'll provide administrative assistance to multiple portfolios, including Human Resources, Organizational Development, and Health, Safety, and Wellness. Key responsibilities include coordinating departmental activities, managing inquiries, enhancing employee experience, organizing events, and maintaining records. Reporting to the Director, People and Culture, the People and Culture Coordinator supports the delivery of a wide range of people programs by providing administrative support and coordination for multiple portfolios, including the Human Resources, Organizational Development, and Health, Safety and Wellness teams. As the primary point of contact for the Department, the Coordinator prioritizes and manages a variety of tasks and responsibilities while building relationships with colleagues and stakeholders and providing an exceptional service experience.

As a member of the People and Culture Department, the Coordinator participates in the planning of people programs, policies and processes. A practical and resourceful team-player, the Coordinator actively seeks continuous improvement opportunities and proposes solutions that align with organizational objectives.

**Key Accountabilities**:

- Provide coordination and administrative support in the implementation and maintenance of a variety of departmental activities, programs, policies and practices.
- Respond to internal and external inquiries or requests and provide information, assistance and guidance, referring to specialists within the department or other departments as needed.
- Proactively identify, explore and recommend opportunities to improve the overall employee experience, including the effective communication of information and access to online resources. Support the maintenance of internal communication sites as required.
- Participate in planning and coordination of departmental and organizational meetings, training sessions and events, including preparation of meeting materials and coordination with external vendors when required.
- Manage and compose correspondence and maintain accurate records and filing systems in both paper and electronic form, in alignment with best practices in information management, privacy and City recordkeeping protocols.
- Coordinate retrieval and review of records for information releases in cooperation with other departments and the City’s Information and Privacy function.
- Review, develop, implement and document new or improved administrative processes, procedures and policies to increase efficiency and support business continuity.
- Monitor departmental budget, manage purchase orders and process invoices.
- Manage office equipment and supplies.
- Conduct research and assist with collecting and analyzing information and reporting metrics and trends as required.
- Perform other related duties as required.

**Qualifications**:
***Education and Experience**:

- Graduation from a certificate program in Office or Business Administration or other related discipline.
- Minimum of two years of administrative or office management experience, including managing sensitive, confidential and personal information.
- An equivalent combination of education and experience may be considered.

**Knowledge, Skills and Abilities**:

- Highly proficient with Microsoft Office 365 including SharePoint and Teams. Experience with JD Edwards and/or other HRIS is considered an asset.
- Excellent written and verbal communication skills, including ability to effectively communicate complex information to various audiences.
- Demonstrated ability to establish and maintain effective working relationships with a variety of individuals, partners and stakeholders
- Knowledge of privacy legislation and principles and demonstrated discretion in handling confidential and sensitive matters.
- Ability to problem-solve and exercise judgement with mínimal supervision.

**Work schedule: Monday to Friday, (35 hour work week)**
