**Status**: Full time, 37.5 hours/week

The Victoria Immigrant and Refugee Centre Society has been dedicated to immigrants and refugees in Greater Victoria for over 30 years, helping clients from all over the world. It serves more than 3,000 newcomers annually, with its programs in the areas of employment, settlement, integration of youth, adults, families and seniors, as well as many other projects and activities.

**PRIMARY ACCOUNTABILITY**:
The NWSP program is funded by the Immigration Refugee and Citizenship Canada (IRCC) and provide services to IRCC eligible clients. Operating within the Newcomer Wraparound Support Program, the Workshop Coordination Assistant (WCA) is responsible for planning, scheduling, and completing Group workshops (Group Information Orientation Sessions). The WCA needs to complete administrative work prior, during, and after the workshops. Working from a strengths-based approach, the

WCA will consider clients’ various needs to attend workshops and ensure to provide the support that they need. This can include finding interpreters and translators for the session and recruiting facilitators for the workshops.

**RESPONSIBILITIES**:

- Plan and coordinate schedules for group information and orientation sessions.
- Support the NWSP workers to screen and select qualified group session facilitators.
- Consider IRCC eligible client’s needs and create workshop materials with various facilitators.
- Ensure all the workshops use materials such as the Welcome Canada guidebook.
- Coordinate schedules for group I&O sessions and book appropriate rooms for activities.
- Create promotional materials.
- Identify the most updated information about local community resources, and include the information in the workshop materials.
- Coordinate child minder and volunteer translations/interpreters to support workshop activities.
- Provide support to NWSP staff.
- Complete administrative duties such as client sign in sheet, workshop evaluation sheet etc.
- Co-facilitate workshops if required/

**ASSET QUALIFICATIONS**:

- Second language is an asset.
- Knowledge of available social services and community resources in Greater Victoria.
- Knowledge of legislation and policies affecting immigrant and refugee populations in Canada.
- Commitment to work ethic.
- Sensitivity to issues of immigration, refugee trauma, mental health, and family conflict. Knowledge of adjustment and transitional issues specific to newcomers
- Understanding sensitivity and an awareness of social justice, diversity, and anti-oppression issues.
