**Position Summary**

CIMCO Refrigeration Inc. is seeking an Office Manager to provide executive support to our US Vice President, Director of Construction & Manufacturing, and National Service Manager, and offer efficient administrative assistance in our busy office.

**Role Responsibilities**
- Act as the primary point of contact for the US Vice President, redirecting inquiries as necessary.
- Manage the distribution and organization of incoming and outgoing correspondence, including copying, faxing, and courier services.
- Coordinate and support meetings, ensuring technical equipment, catering, and meeting materials are in order.
- Arrange travel itineraries and accommodations for company personnel as needed.
- Organize and maintain local corporate files for easy accessibility.
- Provide support and assists as necessary with managing documentation for immigration-related matters, such as L1B and E-Visas, Letters of Entry for the US Vice President.
- Manage the ordering and maintenance of office supplies, equipment, and various office services, including mail.
- Oversee the maintenance and operation of office equipment, including copiers and fax machines.
- Schedule and coordinate web meetings, conference calls, and manage long-distance access codes for staff.
- Manage, track, renew, and distribute corporate event tickets.
- Process field requests for corporate donations and serve as the admin contact for reconciliation support for corporate credit cards.
- Collaborate with Human Resources to facilitate onboarding and employee departure processes.
- Generate various reports, both ad-hoc and scheduled, as required for the VP, Director of Construction and National Sales Manager.

**Required Professional Knowledge, Skills & Qualifications**
- Minimum of 5 years of administrative support experience at a senior level.
- A Bachelor's degree in Business Administration or a related field is preferred.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office software, with an emphasis on Outlook (multiple in-box management), Word, Excel, and PowerPoint.
- Excellent telephone manner and prior customer service experience.
- Ability to work effectively under pressure and meet tight deadlines.
- Strong multitasking skills, managing various office administration functions concurrently.
