The Office Manager at The Forest Hill Group will play a pivotal role in ensuring smooth operations and impeccable service delivery. As the backbone of our back-office operations, you will be responsible for a range of administrative, managerial, and coordination tasks. Your primary duties will include:
- Liaising with Property Managers to resolve accounting issues promptly.
- Training new board members on the Yardi approval process.
- Reviewing Accounts Receivable on a monthly basis and following up with site staff to address accounts in arrears.
- Requesting updates on Outstanding/Accrued Accounts Payable for each site from Property Managers.
- Ensuring that budget and Annual General Meeting timelines for each condo are met punctually.
- Reviewing all packages before dissemination to ensure accuracy and consistency.
- Processing status certificates daily.
- Proactively seeking updated documentation from site staff as necessary.
- Reviewing budget drafts with Property Managers before presentation to the board.
- Demonstrating technical proficiency in Outlook, calendar management, SharePoint, and data analysis.
- Prioritizing tasks and working independently with mínimal supervision.
- Taking ownership of processes and refining them as needed on an ongoing basis.
- Serving as the Back Office Manager for the condo team, including scheduling monthly manager’s meetings, hosting Lunch and Learns by coordinating with various vendors, managing learning trajectories for Limited Licensees, conducting training and refresher sessions for staff, onboarding new staff, and managing holiday coverage and vacation approvals.
**Qualifications**:
- Bachelor’s degree in Business Administration, Management, or related field preferred.
- Previous experience in office management, administration, or a similar role.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and SharePoint.
- Ability to multitask and prioritize effectively.
- Experience in property management or real estate industry is a plus.
**Additional Information**: The Office Manager will receive support from senior staff members and will undergo comprehensive training until they are comfortable with their responsibilities. Please note that while the listed duties are primary, the Office Manager may be assigned other projects as needed.
Pay: $60,000.00 per year
Schedule:
