Louis W Bray Construction is seeking a full-time **Administrator **to join our team to support our Asset management and Health and safety teams. The position is based at our Vars office, in the east end of Ottawa.

Key Responsibilities:

- Maintain Locate tracking spreadsheet and communicate with Project Coordinators and Superintendents regarding locate status.
- One Call Locates; track and order relocates for projects (10 active projects requiring locates, 3 projects have multiple tickets).
- Receive and distribute locates to corresponding projects.
- Communicate with Asset & Maintenance Manager regarding work orders and prepare as needed.
- Maintain all required information regarding equipment in VISTA and Excel.
- Prepare weekly Asset Tracking Report for distribution to Maintenance Manager, Health & Safety Manager and field personnel (WIG report and Summary).
- Reconcile equipment hours on a bi-weekly basis
- Update mechanic utilization scorecard
- Record Shop employee hours in HFF
- Review COR documents for completeness,
- COR (Health and Safety System); track and file all COR documents
- Communicate with Health & Safety Manager and field personnel regarding required and outstanding COR documents.
- Prepare COR Missing Documentation Summary bi-weekly
- Prepare Site Specific Orientation Summary and submit it to Health & Safety Manager.
- Prepare Health & Safety Binder for new projects and distribute to Project Coordinator.

Education & Experience:

- Experience in a fast-paced administrative support role required
- Experience in a construction setting is an asset
- Post-secondary diploma would be an asset
- Advanced knowledge of Microsoft Excel and Word, an asset
- Experience with using Vista software is an asset
- Experience with Health and Safety administration considered an asset
