Headingley, Canada AllPro Mechanical Ltd. Full time

AllPro Mechanical Ltd. is looking for a full-time, permanent Office Coordinator. The Office Coordinator is responsible for a multitude of tasks such as keeping statistics, yearly COR in-house auditing, dealing with Apprenticeship Manitoba and acts as a liaison to employees. In this last role, the incumbent is responsible for overseeing payroll.

- Must have 1-2 years experience in Microsoft Office (Excel, Word, Exchange, Outlook)
- Manage apprentice/journeyman information - hours, certificates, start and end dates, registration numbers, etc.
- Basic understanding of computers, tablets, phones
- Keep track of vehicle maintenance, who's driving and scheduling for repairs or upkeep
- Monitor and supervise company tank gasoline
- WCB reporting, Tracking Health & Safety statistics
- Yearly COR in-house auditing - experience with Site Docs is an asset (Safety Officer)
- Payroll processing - experience with Payworks, as well as Intuit QuickBooks Time is an asset
- Organizing Office - Maintaining electronic and physical filing systems. Primary point of contact for online orders of office supplies
- Capture readings and submit Manitoba Hydro bills. Print out online receipts, Canada Life monthly statements, Indeed payments, and WCB/WSC Statements
- Work closely with Project Managers, Office Staff, Owners, and Construction/Service Team
- Superior communication skills, with strong oral and written English
- Information accuracy and attention to detail is critical
- High degree of motivation and work well independently
- Excellent organizational and time management skills with an ability to meet deadlines
- Demonstrated experience dealing with confidential matters
- At least 3 years office experience

ADDITIONAL:
**Project Coordinating -**
- Experience with Project start-ups, and closeouts
- Responsible for document control (maintain project documentation)
- Pulling permits for Plumbing and Gas
- Project Billing
- Perform Project Audits (cost, quotes, etc)
- Collaborate and assist in the estimating, and scheduling of the projects
