**Overview**
**Duties**
- Managing calendars and organizing meetings/booking
- uploading all paperwork and inputting deals into our back office
- Preparing and handling real estate documents such as contracts, listings, and agreements.
- Organization of office duties and maintenance
- Assisting in the preparation of marketing materials, including flyers, brochures, and social media posts.
- Managing online property listings on real estate platforms/website
- Coordinating open houses and property showings.
- Updating the marketer with content for all listings
- Acting as a point of contact for clients, answering inquiries, and providing updates.
- Ensuring that clients have all the necessary information about the buying/selling process.
- Driving to drop of listing content to sellers homes, lockboxes and overall set ups
- Transaction Coordination
- Assisting in managing real estate transactions from listing to closing.
- Coordinating with inspectors, appraisers, lenders, and other parties involved in the transaction.
- Reporting to the operations manager for transaction coordination
- Maintaining and updating client databases and property listings.
- Managing contact lists and following up on leads.
- Inputting contacts into the database and organizing profiles
- Preparing reports and presentations for agents or brokers.
- Ordering supplies, maintaining office organization
- Ensuring that technology and systems are functioning smoothly.
**Experience**
- Proven experience in a real estate administrative role or similar position is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in data entry with attention to detail.
- Excellent customer service skills with a friendly demeanour.
- Ability to operate various office equipment and computer systems efficiently.
- Strong proofreading skills to ensure accuracy in all communications.
- Comfortable working with phone systems and handling multiple lines.
- Strong organizational and time management skills.
- Must be able to work independently
- Excellent communication and interpersonal skills.
- Knowledge of real estate industry terminology and practices.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Proficency in Canva
- Familiarity with real estate software (e.g., MLS systems, CRM tools).
- Attention to detail and problem-solving abilities.
- Ability to handle multiple tasks and prioritize effectively.
**Job Types**: Full-time, Permanent
Pay: $45,000.00-$50,000.00 per year
