Job Title: Desk Clerk/Accounting Assistant
Job Summary: Oversees all bookkeeping/clerical tasks at Front Desk
Reports to: Executive Director
Union Position
Key Duties and Responsibilities:
1. Does the essential work of the Front desk position
2. Establishes, maintains, processes and updates all files, records and/or other documents
3. Under the direction of Management, schedules staff in accordance with the collective
agreement; maintains and updates schedule
4. Processes time sheets accurately; records employee seniority hours for submission to Union
biannually, and to Executive Director and Accountant monthly
5. Processes employee vacation requests; tracks annual vacation and other employee entitlements
6. Manages the Tuck Shop; orders items for sale; tracks costs to ensure accurate pricing; inputs
daily sales into spreadsheet; balances cash monthly for Accountant
7. Creates and maintains Resident Files
8. Tracks annual rent increases; generates notice to residents; provides Accountant with list of
increases on a monthly basis
9. Ensures all supplier invoices and resident charges are provided to Accountant in a timely
manner
10. Creates and maintains all Accounts Payable files on a yearly basis; prepares files for annual
audit
11. Overseas clerical tasks
12. Support Accountant with additional tasks as required
13. Only one person shall accrue seniority in the Desk Clerk/Accounting Assistant Classification
Qualifications:
I. Required: High school diploma; Intermediate to advanced knowledge of Excel, Word,
Publisher and Outlook; knowledge of reception, clerical and accounting procedures;
Preferred: Knowledge of scheduling; 2-3 years’ experience in a similar setting
Job Skills and Abilities:
II. Highly effective oral and written communication skills
III. Experience with professional office systems and procedures
IV. Ability to ensure accuracy of all data entries
V. Ability to deal with residents, staff and public using courtesy and diplomacy
VI. Ability to respond to problem or emergency situations effectively and in a timely manner
VII. Ability to prioritize and organize tasks with attention to detail
**Salary**: $22.00-$23.00 per hour
