Coordinator, Capital Projects

**Position Overview**: Circle Community Land Trust is looking for an experienced and proactive Coordinator, Capital Projects to oversee contractor activities, manage project execution, and ensure the successful delivery of capital improvement projects within our affordable housing portfolio. Reporting to the Senior Manager of Capital Projects, the Coordinator will work closely with the Capital Projects Supervisor to ensure all projects are completed per scope, on schedule, within budget, and meet the required safety and quality standards. This role involves leading contractor management, conducting site inspections, and ensuring smooth execution of project workflows, and being the primary Circle representative on construction sites.
**Key Responsibilities**:
Site and Contractor Management:
- Supervise contractor activities during capital projects, including conducting regular site visits to monitor work progress, safety, and compliance with project specifications.
- Coordinate contractor schedules to ensure project timelines are met and communicate any adjustments to stakeholders.
- Provide on-site leadership during construction, resolving any issues that arise and ensuring that contractors follow health, safety, and environmental regulations.
- Perform inspections of work completed by contractors to verify quality and adherence to contracts before signing off on milestones.
- Collaborate closely with the Capital Projects Supervisor and vendors to resolve any technical issues that impact project timelines.
Project Leadership and Coordination:
- Work hand-in-hand with the Capital Projects Supervisor to ensure smooth project workflow, ensuring all activities are aligned with the project plan.
- Assist in developing project scopes, budgets, and timelines while ensuring alignment with organizational goals.
- Oversee the execution of capital projects, from pre-construction planning to final handoff, ensuring successful completion.
- Communicate regularly with the Vice President, Capital Projects and Senior Manager, Capital Projects to provide updates on project status, risks, and resource needs.
Documentation and Reporting:
- Maintain accurate and up-to-date records of contractor work, site inspections, and project progress.
- Assist in preparing necessary documentation such as work orders, inspection reports, etc.
- Provide feedback to contractors on performance and quality of work and identify areas for improvement.
Vendor Relations and Procurement:
- Ensure contractors adhere to the terms outlined in contracts and take corrective actions when required.
- Partner with the Capital Projects Supervisor to ensure timely delivery of materials and services, minimizing disruptions to the project schedule.
Tenant and Stakeholder Communication:
- Liaise with tenants and internal teams, addressing any concerns related to ongoing construction or capital improvement activities.
- Ensure tenant safety and comfort during construction activities, coordinating work to minimize disruptions to the building occupants.
Risk Management:
- Proactively identify and mitigate potential risks that may impact project timelines, costs, or quality.
- Ensure compliance with all applicable safety standards, building codes, and organizational policies during construction activities.
**Qualifications**:
- Post-secondary education in Construction Management, Project Management, Engineering, or a related field.
- 3+ years of experience in construction supervision, contractor management, or capital project management.
- Strong knowledge of building codes, safety standards, and construction project workflows.
- Proven experience managing multiple contractors on various sites simultaneously.
- Familiarity with property management software (experience with Yardi is an asset).
- Exceptional organizational and communication skills.
- Proficient in Microsoft Office Suite.
- Valid Class G driver’s license and access to a reliable vehicle required.
**Working Conditions**:
Regular site visits and inspections of properties in various weather conditions.
