Office Administrative Assistant/receptionist

_**The Opportunity**:_
We are seeking a friendly, self-motivated individual for the role of Receptionist & **Office Administration Generalist.** The successful applicant must have strong attention to detail, communicate effectively, and have excellent organizational skills. They enjoy working in a busy environment where they can use their multitasking skills in a fun environment. In addition, this individual should have an analytical mind, and always be looking for ways to better improve systems and efficiencies.

- **What we're looking for**:_
- Excellent customer service skills
- 2 years experience in busy office setting
- Knowledge of Nanaimo and the surrounding areas
- Computer skills - Microsoft Office (Excel, Word, Outlook)
- Ability to adapt quickly to new systems, _QuickBooks experience is preferred_
- Ability to meet deadlines and adapt to changing priorities
- Strong sense of urgency and self motivated to handle multiple projects
- Strong organizational and time management skills
- Positive attitude and effective communication skills
- Analytical and detail oriented
- Team oriented, positive attitude and strong communication skills as well as the ability to work independently
- _Construction knowledge is an asset_
- _Dispatching (short haul) experience is an asset_
- **Responsibilities**:_
- Greet and present a positive and professional image of the organization to all visitors, suppliers, inquires, drivers and other interactions.
- Answer phones and provide excellent customer service to our clients, providing information about any inquires or requests
- Proactively resolve any arising problems or complaints
- Order entry CRO/Quickbooks
- Create invoices and receive payments. Process payments and credit card postings
- Process incoming paperwork and ensure accurate and timely input of data
- Recording equipment logs and maintenance hours
- Order office supplies and organize for use
- Scanning daily slips and review daily billing
- Ability to manage Accounts Receivable: create invoices, statements and deposits
- Processing of Accounts payable and purchase orders
- File maintenance
- Daily reconciliation of various systems and billing
- Assist the Controller, Office Manager and other team members as required
- Other office duties as required
