We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The administrative position at SNAP will to be responsible for many clerical tasks to ensure the staff can communicate and work efficiently. You will assist with the day-to-day operations of an office by doing tasks such as filing paperwork, answering phone calls, preparing documents for meetings, and managing the calendar of their supervisors.
**Responsibilities**:
- Handling administrative requests and queries from managers.
- Organizing and scheduling appointments with MS Teams.
- Planning meetings and taking detailed minutes.
- Answer and direct phone calls.
- Assist in the preparation of order forms and invoicing.
- Order necessary office supplies.
- Maintain contact lists.
- Managing videoconferencing, fax communications and office equipment.
- Creating spreadsheets, managing databases, preparing presentations.
- Reviewing incoming documents.
- Act as the point of contact for internal and external clients.
**Requirements**:
- Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position.
- Full comprehension of office management systems and procedures.
- Excellent knowledge of MS Office, MS Excel and MS PowerPoint.
- Exemplary planning and time management skills.
- Ability to multitask and prioritize daily workload.
- Knowledge of office management systems and procedures.
- Attention to detail and problem-solving skills.
- Discretion and confidentiality.
- High level verbal and written communications skills.
- Proficiency in English.
- Have a positive attitude and willingness to grow.
Qualifications:
- Basic understanding of the construction industry is an asset.
- Must be authorized to work in Canada.
- 2+ years’ experience at some capacity as an assistant.
- Ability to read and understand blueprints is an asset.
- Ability to work in a fast-paced environment.
- Ability to prioritize and execute multiple tasks efficiently.
- Excellent knowledge of MS office and CRM practices.
- Additional qualification as an administrative assistant or Secretary is an asset.

**Salary**: $20.00-$22.00 per hour
