**_In this role you will:_**
- Reception duties including but not limited to answering phones, manage admin. inbox, relaying messages, directing queries and information to appropriate departments and staff, and greeting visitors.
- Manage communication services including courier, express, postal, electronic facsimile, and track and log mail and courier deliveries.
- Create and maintain databases, records, spreadsheets, and reports to track various operational agreements and assets. Establish a filing system to store hardcopies of the same where necessary.
- Perform research tasks efficiently and provide a summary of findings.
- Make approved purchases, and arrange delivery/pick up where needed, of office supplies and equipment for staff and clients as required. Create expense reports on database software.
- Ensure the office building is properly stocked with kitchen and bathroom supplies and maintain inventory.
- Work alongside the Accounting team (Accounts Payable) to track and validate purchases incurred by staff in a timely manner. Create and file any financial documents following established procedures.
- Assist in ensuring the return of company assets from departing employees.
- Support re-occurring meetings with management of agendas and follow-up minutes distribution.
- Review and refine established procedures to improve efficiency.
- Other duties as assigned.

Logistics Support
- Schedule and book travel and accommodation arrangements for employees and business units.
- Manage communication of travel and accommodation arrangements with department heads, employees, and business units.
- Create and maintain expense reports and files for logistics purchases.
- Other duties as assigned.
- Superior computer data entry and filing skills.
- Effective communication skills - written and oral.
- Excellent organizational and multi-tasking skills.
- Strong critical thinking skills, a methodical approach to problem solving and executing plans.
- A fast learner who actively listens to instructions and follow tasks through to completion.
- Ability to work collaboratively in a team as well as able to work independently.
