**Position: Executive Assistant**
**Summary**
We are looking for a temporary (18-month contract) executive assistant to support our Market Vice President. As the executive assistant, you will work to leverage appropriate resources to manage and coordinate administrative tasks for the Market Vice President and other senior leaders.
**Executive Support**:
- Calendar management for Market Vice President; including proactively identifying and resolving scheduling conflicts, responding to questions around availability, etc.
- Travel coordination, including security protocols for the Market Vice President and other senior leadership when required
- Expense management for the Market Vice President and other senior leadership where required
- Meeting and event coordination, attending and taking minutes when required
- Drafting, editing and distributing communications for the Market Vice President
- Pulling and maintaining reports and PowerPoint presentations when required
**Organizational Support**:
- Coordinate employee events such as catering, logistics, and other duties assigned
- Communicate and distribute monthly company directories or other organizational announcements
- Place orders for equipment, supplies and consumables for the office
- End-to-end logístical support of staff activities and events
- Maintain and update accident investigation/injury reports
- Monitor WSIB accounts and liaise with director of safety when required
- Ensure all highway traffic offences are reported to Director of Safety and processed accordingly
**QUALIFICATIONS**:
- University degree and/or equivalent related education;
- 4 years of experience supporting senior leadership team members;
- Superior written and verbal communication skills;
- High degree of technology proficiency (Word, PowerPoint, Excel, Outlook and scheduling tools);
- Ability to prioritize, work efficiently within tight timelines and be adaptable to change-and managing multiple stakeholders at once;
- Strong organizational and time management skills with the ability to follow-up independently;
- Willing to occasionally work outside of standard work hours to respond to issues as they occur, if necessary;
- Strong administrative skills - the ability to handle correspondence and phone inquiries, maintain files, prepare and monitor expense accounts, and complete special projects as needed;
- Willing to take initiative by going beyond assigned tasks and offer to take on greater responsibility/new projects, offering suggestions for improvements, making changes where needed.

**Salary**: $70,000.00-$73,500.00 per year
