**POSITION TITLE: Administrative and Billing support**

**POSITION QUALIFICATIONS and RESPONSIBILITIES**:
**Education & Experience**
- Proven experience in billing, administration, or a similar role.
- Excellent analytical and problem-solving skills with a keen attention to detail.
- Advanced knowledge of MS Excel for data analysis and reporting.
- Effective communication and interpersonal skills, with the ability to collaborate and build relationships with various stakeholders.
- Strong organizational skills with the ability to prioritize and manage tight deadlines.

**Responsibilities**

**Invoicing**:

- Generate accurate and timely invoices based on contract terms and billing schedules.
- Verify billing information, including rates, quantities, and discounts, to ensure accuracy.
- Resolve any billing discrepancies or issues and communicate with relevant parties.
- Maintain billing records and documentation in an organized manner.
- Review and reconcile vendor invoices.

**Contract administration**:

- Coordinate and administer contract agreements, including reviewing, and drafting terms and conditions in collaboration with account managers and management.
- Maintain organized contract files and documentation, including contract templates, amendments, and related correspondence.
- Maintain a contract database and track key milestones such as expiration and renewal dates.

**Recruitment & onboarding coordination**:

- Collaborate with hiring managers to understand their recruitment needs and develop effective sourcing strategies.
- Manage the end-to-end recruitment process, including job postings, applicant tracking, interview coordination, reference checks, and collaborate with both HR and Payroll for effective staff onboarding.

**General Office Admin Support**:

- Office Timesheet administration
- Provide general administrative support to the office, including managing correspondence, scheduling meetings, and maintaining office supplies.
- Assist in maintaining and organizing electronic and physical files, records, and documents.
- Coordinate travel arrangements, accommodations, and itineraries for staff as needed.
- Handle incoming and outgoing mail and packages, including sorting, distributing, and tracking deliveries.
- Support other administrative tasks and projects as assigned by supervisors.

**Job Types**: Full-time, Permanent

**Salary**: From $50,000.00 per year
