Reporting to the Vice President, Strategic Alignment & General Counsel, the Assistant Secretary of the Board of Governors & Executive Assistant is responsible for administrative leadership, projects and operational support of the Office of General Counsel, and the Board of Governors.

This role will be a key member of the Office of the President team.

What You’ll be Doing

**Supporting the following operational areas**: Governance Secretariat, Legal, Policies and Procedures, Privacy, and Records Management. This includes: legal filing and records management, coordinating initiatives and projects related to the formalization and maintenance of the Vice President, Strategic Alignment and General Counsel, fielding inquiries, drafting correspondence, drafting legal pleadings, arranging filings with court and contacts with process servers, liaising with internal and external contacts, scheduling, organizing and expediting workflow and meetings

Acting as a Freedom of Information Implementation authority, coordinating Freedom of Information and Privacy requests, and researching IPC (Information & Privacy Commission of Ontario) decisions, supporting the policy development process, and ensuring the operations of the Office as a whole run smoothly.

Managing internal/external communications, financial processes, legal invoices, budget, internal and HR transactional administration for the department, information/records management, and coordination of various logistics and activities.

Developing and maintaining Board materials, preparing Board materials, establishing Board processes/procedures, and remaining apprised of/implementing governance best practices.

Managing the priorities for the Policy processes at Sheridan, including logístical/administrative and secretarial support. Also, accountable for ensuring Sheridan's public facing policies are up-to-date and meet legislative requirements.

Managing/Processing FOI requests and correspondence/responses. Supports the annual reporting process to the Information and Privacy Commissioner of Ontario and to the Board of Governors.

Providing intake of internal and external inquiries on a broad range of issues, including liaising with a variety of internal/external clients and staff. Responsible for office administration, financial, and HR administrative activities on behalf of the Office.

Completing other duties as needed.

Must possess a minimum of a 3-year college diploma /3-year university degree in legal administration, office administration, or a business-related field

Must possess a minimum of 7-years experience in an executive office(e.g. large department/faculty, law office, business office) or other administrative role

Must have experience working in a highly confidential environment at the senior leadership level

Must have experience with filing and organization

Must have experience developing web materials and/or policies

Must have well developed organizational, planning & project administration skills

Must have knowledge of legislation, best practices and principles regarding access and privacy protection (FIPPA)

Experience working in post secondary or public sector environment is preferred
