We are seeking a highly motivated Administrative Coordinator to join our team at Chem-Aqua. They will be primarily responsible for assisting the New Construction department with administrative functions to support sales.
**Responsibilities will include but not limited to**
- Update and maintain department Outlook job calendar
- Update and maintain department contract management system (Salesforce)
- New Construction orders - complete cycle:
- Prepare customer orders on spreadsheet, send to Orders department for placement
- Coordinate with customers for shipments
- Internal follow up, as required
- Return documentation, as required
- Compile technical documentation packages (“shop drawings”) for customer engineering approval
- Prepare monthly commission statements
**Requirements**:
- 1-2 years of experience in an administrative role
- Hybrid work arrangement, minimum 2-3 days a week required in office
- Exceptional attention to detail with strong organizational and time management skills
- High degree of data entry accuracy
- Working skills in MS Excel, MS Word and Outlook
- Ability to work and learn independently
- Positive team attitude
- Ability to work well with cross functional teams
