**Executive Administrator**

Saskatoon, SK

Full-time, permanent, hybrid

**Responsibilities**

**Provide support for the regular functions of the MNFS Office by**:

- Receive telephone callers and visitors to Many Nations in a professional, friendly, and helpful manner.
- Manage the distribution of mail (Canada Post, ICS, Purolator).
- Maintain an appropriate inventory of office supplies.
- Maintain a schedule and take bookings for the use of the Board Room and other appointments made in the office as necessary.

**Provide support for activities in and around the office environment**:

- Coordinate travel, meeting, and conference call arrangements as required.
- Maintain the centralized filing system.
- Maintain inventory of marketing materials.
- Provide travel, site and catering arrangements for corporate office meetings and seminars.
- Consistent with quality improvement activities, develop and implement a plan to monitor and report progress related to his/her specific functional area on an ongoing basis.
- Participate actively in the general sharing of responsibilities related to quality improvement, streamlining workflow and safety in the workplace.

**Provide support to Customer Service Department**:
**Marketing**:

- Update and maintain all social media platforms (LinkedIn, Facebook, Twitter and Instagram)
- Create annual news letter for the members of the Many Nations Multi-Employer Pension Plan
- Update and maintain information on the Many Nations website.
- Create monthly blog posts to be added to the Many Nations website.
- Maintain an inventory of all promotional items and printed material.
- Coordinate trade show booth for trade shows and conferences.
- Maintain corporate memberships.

**General**:

- Consistent with quality improvement activities, develop and implement a plan to monitor and report progress related to his/her specific functional area on an ongoing basis.
- Participate actively in the general sharing of responsibilities related to quality improvement, streamlining work flow and safety in the workplace.
- Perform such other duties and responsibilities as may be directed from time to time by the Management of MNFS.

**Qualifications**

**Qualifications, skills and experience**:

- A diploma or certificate from a recognized business college or equivalent experience.
- Office experience at an administrative level, or equivalent. Experience with a general insurance agency, insurance carrier, financial institution or equivalent preferred.
- Proven capability as an effective communicator, oral and written.
- Demonstrated working knowledge of computer systems.
- Exemplary organization and time management skills. Customer service is of utmost importance.
- Diligent, conscientious and confidential.
- Ability to accept direction and take accountability for implementing it.
- Excellent team building and team playing skills.
- An appreciation and sensitivity to the diversity of opinions, skills and talents of others.
