**This is a part-time administrative position, approximately 22 hrs/week**:
- On-site position, no remote work
- 1 full day + 3 half days
- Must be willing to work flexible hours, as necessary
**Job Summary**:
- The Receptionist/Administrative Assistant part-time position is responsible for receiving and directing incoming calls, welcoming visitors and clients to the office, creating client billings and processing vendor invoices in a timely and accurate manner.
**Qualifications and Skills**:
- 1-2 years accounts payable and accounts receivable experience.
- Proficiency in Microsoft Office, particularly Excel and Word.
- Strong communication and interpersonal skills coupled with a high organization and a strong orientation to detail while upholding a level of confidentiality.
- Professional and courteous customer service/administrative/receptionist experience.
- Ability to remain calm under pressure, meet deadlines and prioritize tasks.
- Reliability with a positive outlook and the ability to work autonomously.
**Additional Assets Include**:
- A working knowledge of CCH iFirm Jobs and Billing and QuickBooks Online.
**Responsibilities**:
- Daily opening and closing office duties.
- Answer and screen incoming calls, greet visitors/clients, call clients for pick up of personal documents.
- Open, sort and distribute incoming mail, manage incoming/outgoing courier shipments.
- Process daily bank deposits, monitor and maintain office petty cash.
- Create client billings and credit notes, enter expense reports, and review client statements.
- Enter vendor invoices to accounting software and process weekly cheque run.
- Onboard/create new client files and maintain their all client contact card information.
- Order office supplies, maintain and monitor staff calendars and meeting rooms.
- Manage retrieval and return of offsite storage boxes.
- Assist and complete other tasks as requested.
- Participate in the Joint Health and Safety Committee.
