Regional Maintenance Manager

**Position Summary and Job Magnitude**
To assist the Director of Physical Resources and the Corporate Operations team with the operations of maintenance at the on-site level, supporting and maintaining the standards for daily operations and new initiatives set forth by the organization, capital improvement project completion, expense control and efficiency of service teams. In addition, providing assistance, training, and periodic supervision of all service team personnel.
**Essential Functions and Basic Responsibilities**
**Supervisory Responsibilities**:
- Oversee and direct contractors involved with capital improvement projects working through the Community and Service Managers on day-to-day logístical aspects. Direct site employees on these special capital projects to support in quality controls, and timely completions. Support Community Managers with new Service Manager hires during on boarding process and provide direction as needed throughout their tenure, including supporting Community Managers on counseling sessions as needed for the service teams. Ensure compliance with all Integris Student Living service-related standards by all service personnel.
- Demonstrate customer service skills by treating residents, team members, vendors and others with respect, by answering questions from your team and residents, responding sensitively to complaints about maintenance services, and assigned service requests with efficiency and urgency, and leading by example.
- Identifies areas for improvement and offers suggestions to improve efficiency and productivity to Regional Managers and Director of Physical Resources.
**Principal Responsibilities**:
Standards and Training:
- Work with Regional Managers to establish and monitor community standards for cleanliness, grounds detail, amenity and common areas, maintenance shops, service request and make ready completions.
- Establish and monitor preventative maintenance procedures bi-annually.
- Report specific needs and deficiencies on individual properties to the Regional Managers, VP Of Operations and Director of Physical Resources.
- Review and support coordination and execution of emergency services.
- Review certification requirements and maintain accurate up-to-date records for all service team members.
- Support on-site service teams with trouble shooting/hands on training in plumbing, electrical, appliance, etc. and scheduling support needs between communities to reduce the need for outside contractors.
- Review current company needs for service training and conduct service team training a minimum of once per quarter to increase onsite teams’ knowledge and improve onsite performance.
Community Inspections and Quality Assurance Review
- Make periodic inspections of work performed by service teams and report findings to the Regional Managers, minimum of once per month.
- Establish QAR standards for service teams and assist in action plans and follow-up to bi-annual reviews with the Regional Managers.
- Support with acquisition inspections and assessments
**Vendor Management**
- Establish contract service scope of work, standards, and pricing with vendors.
- Review all maintenance standards to ensure cost effective methods are used to meet our standards. This includes outside contract services, training support and replacement standards.
- Improve process and standards for purchases of parts and supplies, major tools to ensure the best quality and price available and negotiating costs.
**Capital Improvement Projects**
- Assist and review scope of work for capital projects.
- Oversee capital project work, support timeline/completions and approve progress payments and final sign-off of the projects.
- Communicate with Community Managers and Service Managers on capital project schedules, responsibility, and completions.
**Financial Performance**
- Improve Cost Per Unit/Bed at each community - Maintenance Parts and Supplies, Turn Over Costs, Exterior Maintenance, Utilities, Contract Services
- Establish standards for Service Managers to participate in 30-60-90 day forecasting with Community Managers
- Provide specialized trainings to assist in controlling replacement costs and general operating expenses
**Health & Safety Responsibilities**:
- Require employees work in the manner and with the protective devices, measures and procedures required by the OHSA, regulations, and Campus Living Centres (e.g. wearing safety shoes, confining hair, jewelry or loose clothing around moving parts, etc.)
- Ensure the Personal Protective Equipment required for all subordinates’ job is readily available, in good working condition and ensure usage is recorded
- Ensure all trainings required for each task are identified, documented, and readily available
- Ensure all WHMIS 2015 regulated supplies and SDS sheets are readily available
- Ensure hazard identification, labelling, and any additional chemical safety resources and documents are up-to-date and available for all
