**OVERALL SCOPE OF THE POSITION**
The **Accounting-Safety Administration Assistant** processes and accounts for Accounts Payable invoices and responds to related enquiries and aids in administrative duties for safety.
This position is responsible for administrative support to Safety and the Accounting Department. The position requires the individual to be client service oriented, strong attention to detail, exceptional organizational skills and is a team player. This position functions as the Company’s primary Receptionist for walk-in and telephone (switchboard) traffic and ensures that visitors are greeted and directed pleasantly and professionally in support of customer service.
- KEY RESPONSIBILITIES AND AUTHORITY
- Assist with Accounts Payable and Payroll.
- Matching and inputting invoices into the accounting system.
- Entering the information from daily shop and field time sheets and preparing the weekly job hour report.
- Ensuring the accurate and timely processing of the Shop/Field Payroll, via the company’s payroll program.
- Matching packing slips to PO’s, invoices and Bill of Ladings for Accounts Payable.
- Supporting the overall accounting and bookkeeping function, as required.
- Receiving and distributing incoming communications and outgoing communications.
- Ensuring general office supplies are available and appropriately stored;
- Ensuring that primary office equipment (photocopier, facsimile, mail machine, switchboard, etc.) are appropriately maintained and serviced;
- Acting as the service point of contact for office supply and office services suppliers;
- Arranging meeting facilities and meals, on request; and photocopying and faxing;
- Provide support for other departments as required, including admin support for Field.
- Maintain online portals.
- Onboard field staff.
- Prepare documents for safety related activities.
- Organize and maintain safety files.
**SKILLS REQUIRED OR DEVELOPED**:
- Strong communication skills.
- Computer experience in accounting, payroll, and spreadsheets.
- Experience in setting up files and maintaining filing procedures.
- Able to work with little supervision and under pressure.
- Must be experienced and appreciate the confidential nature of the information being processed.
Other duties and responsibilities may be assigned by the Company from time to time; you agree to comply with the Company’s employment policies and practices, written or oral, which may be implemented or amended by the Company from time to time in its sole discretion.
**Salary**: $50,000.00-$60,000.00 per year
