We are looking for an Administrative Assistant IV to join our Control Centre Operations team at our ragged Lake office in Halifax. Reporting to the Director, you will provide a high level of administrative support to the Control Center Operations team. This position requires flexibility, excellent customer service and the ability to work with all levels of internal management and staff, as well as outside clients and vendors.

Key elements of this role include:
  • Create and edit documents, spreadsheets, and presentations.
  • Formatting and filing regulatory documents.
  • Preparing reports and department financial data.
  • Process invoices for payment and review payroll time entry.
  • Assist in the development and maintenance of standard office procedures.
  • Maintain filing systems and SharePoint sites.
  • Arrange meetings and events, manage calendars and e-mail as well as make travel arrangements.
  • Take meeting minutes and track action items.
  • Emergency Operations Centre admin support during major weather events. This will require working outside of regular office hours.

  • Minimum of Grade XII education, a recognized Office Administration and/or Business Certificate (or equivalent) and a minimum of three (3) years of experience.
  • Proficiency with various software applications including Excel, Word, Power Point, Oracle, and PeopleSoft.
  • Detailed-oriented individual, working to a high standard with good judgement and the ability to work with confidentiality.
  • Excellent organizational, multi-tasking, and communication skills are required.
  • You are a team player and possess strong interpersonal skills and are able to work with competence and independence.
