Adecco is currently hiring a full-time organized, personable, and proactive Administrative Assistant to be the face of our client’s office and the backbone of their administrative team, in Fort Saskatchewan, AB. This role you will be responsible for creating a welcoming environment for visitors, managing front desk operations, and providing vital administrative support to ensure the office runs smoothly.

  • Pay Rate: $23.00 - $25.00 / hour (based on experience)
  • Location: Fort Saskatchewan, AB
  • Shift: Monday to Friday | 8am to 4:30pm (working in office)
  • Job type: Full-time | Temporary for 2 months to start with the possibility for extension.

Responsibilities:

  • Provides secretarial and administrative support: Ensures compliance with administrative procedures. Ensures follow-up on employee files and keeps them up-to-date. Sets up and types documents, forms and letters.
  • Ensures data entry and correspondence in customer files. Collects, addresses and arranges pick-up for courier mail. May translate texts. Maintains stock of stationery forms and office supplies for the Service / Regional Centre / Department and orders as required.
  • Ensures incoming and internal communications: Answers promptly and cordially all incoming and internal calls and directs them accordingly or takes messages while providing a positive image of Customer Service. Responds to internal customers requests when possible.
  • Advises of ALC safety policies on the premises and directs calls accordingly. Contributes to the team’s cohesion through his/her action communication.
  • Coordinates special projects: Makes outgoing calls and sets up conference calls when required. Makes arrangements for meetings and appointments. Makes travel reservations when required. Takes charges of specific projects within the work team.
  • Manages the budget: Ensures follow-up on the Service / Regional Centre / Department’s budget and provides monthly control of all Service / Regional Centre / Department’s expenses. Manages requests for requisitions and ensures payment of all Service / Regional Centre / Department invoices. Responsible for the balancing of the cash (cash drawer).
  • Ensures Intranet management: Keeps the information available on the Intranet site up-to-date by performing a regular update of all data. Looks for new information to integrate into the site and has them validated.


Qualifications:

  • Must be legally eligible to work full-time hours and available to start ASAP.
  • Must be local to Fort Saskatchewan or Edmonton area, able to commute to work Mon- Fri.
  • Business Diploma or Certificate in administration, secretarial or the equivalent.
  • Minimum of 3 to 5 years’ experience in administration
  • Good written and oral communication skills.
  • Advanced knowledge of MS Office and ability to surf the Internet
  • Customer-oriented and service-driven: Precisely answers customer requests, is attentive to customers, respects commitments towards customers, initiates new ideas in order to meet customer expectations.
  • Strong interpersonal skills: Gets to know others and forms relationships, maintains very good relationships with colleagues, respects the ideas and opinions of others.
  • Flexibility: Adapts his behavior to different types of situations, is open to new ideas, accepts changes and conforms to them, ability to remain highly effective in changing situations, proposes new action plan when situation changes.
