The Client:

The group is currently looking for an Administrative Assistant who has experience working in a fast-paced financial institution and possesses the ability to take initiative and prioritize multiple tasks to ensure the groups success.


What you will achieve in this role:

  • Deliver personalized and timely client service, ensuring every interaction is meaningful and engaging.
  • Maintain seamless operational workflows and effectively address internal process-related issues.
  • Stay informed about regulatory requirements and ensure strict adherence to compliance standards.
  • Accurately complete all daily, monthly, and annual reporting tasks.
  • Open new client accounts, ensuring all related documents are prepared accurately and in compliance with regulations.
  • Handle the administrative onboarding process for new clients to ensure a smooth experience.
  • Prepare documents for client meetings.
  • Manage incoming calls and direct them to the appropriate personnel as needed.
  • Update client information and documentation in relevant software systems.
  • Oversee estate document management and handle general estate relations.
  • Provide backup support to the Executive Assistant and other Operations team members.
  • Assist accounting partners with requests for personal and corporate tax information.
  • Reconcile monthly billing reports, address discrepancies, and ensure timely resolution.
  • Track, monitor, and document the Know Your Customer (KYC) report.
  • Understand and manage the internal insurance payment process, ensuring information is updated and distributed promptly.
  • Assist clients with their online banking inquiries.


What you must bring to this role:

  • Experience in the financial services (Investment Banking, Retail Banking etc.)
  • Knowledge of private client account types and products (RRSP, RRIF, LIF, TFSA, RESP).
  • Completed the Canadian Securities Course (CSC), Conduct & Practice Handbook (CPH), and Wealth Management Essential (WME) or are open to obtaining within 6 – 12 months of hire.
  • IIROC RR licensed (or be willing to become licensed).
  • Working knowledge of Microsoft Office Suite.
  • Detail oriented, timely, and organized.
  • Learns new software’s quickly.
