We are recruiting for a Proposal Coordinator (1 year temporary) for our Valves, Actuation & Measurement team, based in Calgary. Reporting to the Manager, Coordinators, you will be responsible for creating and responding to commercial terms, coordinating documentation and technical details, to compile strong Customer facing proposals.

Role and Responsibilities
  • Act as a central point of contact for the quoting team (Account Manager, Technical Sales Specialist, Application Specialist, and Document Coordinator) and Customers.
  • Work closely with quoting team to understand new project scope and execution needs.
  • Acknowledge, track and prioritize Requests for Quote (RFQs).
  • Ensure timely and professional communication with regards to quote requests and clarifications.
  • Careful review of customer RFQ commercial content and Terms and Conditions.
  • Coordinate and lead project and bid kickoff meetings, internally and externally.
  • Act as central point of contact and facilitate communications on multi-business unit proposals.
  • Provide commercial support for Account Manager and Legal & Contracts Counsel to negotiate new customer agreements.
  • Prepare and submit proposals, ensure compliance to RFQ requirements and evaluation criteria.
  • Timely review and hand-off of Purchase Orders (POs) to execution team.
  • Prioritize and manage strict deadlines.
  • Develop basic understanding of legal terminology, contracts, and risk management.
  • Develop basic product, technical, and documentation knowledge as it relates to the role.
Qualifications and Skills
  • Minimum high school education; post-secondary education an asset.
  • 3-5 years related experience. Ideally in a technical, proposal support role.
  • Job related courses and/or oil & gas industry experience an asset.
  • Strong technical writing skills and basic project management skills.
  • Excellent interpersonal, communication and customer service practices.
  • Working knowledge of MS Office computer applications (Word, Excel, Outlook).
  • Highly organized and strong multi-tasking abilities.
  • High degree of initiative, discretion, and confidentiality.
  • Ability to work independently and effectively in a team environment.
  • Understanding of commercial Terms and Conditions.
  • Familiarity with common proposal development processes/tools.
  • Willing and able to work under pressure and prioritize multiple deadlines.
  • Entrepreneurial work ethic.
