Administrative Assistant/Receptionist_**The purpose of this job is to provide superior administrative support to ServiceMaster's leading brands, by efficiently managing all assigned tasks in a timely manner.

This support includes but is not limited to scheduling, travel management, managing deadlines and commitments, providing support in business presentation consolidation of reports, social and internal events management, data collection and correspondence preparation, and expense collection and submission.


What you'll do:

  • Support the preparation of business presentations.
  • Independently prepare correspondence and reports.
  • Interpret and clarify requests and provide support with required responses and action.
  • Follow up on deadlines and commitments to or from the team.
  • Prepare for weekly, monthly, and quarterly reviews, meetings & routines, including electronic documentation management and all information reporting.
  • Plan, schedule and manage logistics related to meetings and conferences.
  • Manage requests and concerns with tact and diplomacy.
  • Lead or assist in the planning and facilitation of internal company and client events.
  • Record, transcribe and distribute minutes of meetings.
  • Perform general administration support which includes processing expenses, courier shipments, & copies.
  • Other tasks as assigned to support the business.

What you bring:

  • Answer phone lines and direct calls appropriately
  • Ensure visitors are signed in and out at reception
  • Maintain a tidy and welcoming appearance at the reception
  • Check for & distribute mail (daily)
  • Prepare Purolator waybills for shipments
  • Kitchen, office supplies, flowers/gift baskets for staff and network as requested (sympathy, get well, congratulations)
  • Monitor Concur Invoice Capture and process verification of all incoming invoices
  • Code & submit corporate invoices assigned
  • Approve all invoices submitted once in Accounting Review status.
  • Download vendor invoices/statements as required
  • Transfer data from DR National Account bulk cheques to spreadsheets (RSA & Economical)
  • Create and update new vendor profiles in Concur
  • Update vendor profiles in Concur.
  • Warm and friendly with a positive attitude
  • Possess strong ability to multitask
  • Detailed oriented and Tech Savvy
