Work Arrangements: This is a hybrid role. You will work in our office in Waterloo, ON a minimum of two (2) assigned, consecutive days every other week, plus a fifth (5th) assigned day per month. You are welcome to work from the office more than the minimum requirement. In this role the HR Coordinator, Employee Experience will be required to work more than the minimum requirement in office.

The HR Coordinator, Employee Experience will support our Human Resources team by playing a pivotal role in the administration and planning of company events, new hire onboarding, and rewards, recognition and learning programs.

What you will be doing:

  • Administrative and event planning tasks associated with EQ Orientation (EQO), EQ Together Days, Growing Together Days, and learning and development activities.
  • Support new hires in completing onboarding accurately and on time, including work permit documents and SIN verifications.
  • Make travel arrangements for employees attending HR related events, as required.
  • Attend EQO, oversee overall agenda, and ensure presentations are continuously updated and available for presenters. Additionally, presents orientation content as required.
  • Coordinate LEGO rewards program, ordering and distribution of LEGO kits for new employees, and maintaining inventory and distribution of anniversary and specialty/award/committee bricks.
  • Administration of the Equitable Rewards and Recognition Program
  • Support ongoing learning programs, including CEBS/LOMA, Crucial Conversations, and DiSC.
  • Occasional evening hours may be required based on event requirements
  • Manage daily email inquiries to HR shared mailbox as the tier 1 support, responding or delegating as required. Provides guidance on inquiries related to established policies, programs, and procedures.
  • Ongoing review and update of HR SharePoint sites to ensure information is accurate, helpful, in plain language, and up to date.
  • Creates and maintains all process documents related to the HR Coordinator tasks.
  • Assist with process improvement initiatives that increase HR team efficiency and improve employee, manager, and candidate experience (HRX).
  • Act as backup to other HR Coordinators, cross training on managing mailboxes, and administrative tasks.


What you will bring:

  • Professional designation in Human Resources (CHRP) certification or working towards the designation is preferred.
  • A bachelor's degree in a related field, or equivalent work experience in Human Resources, is required.
  • Bilingual written and verbal communication in French and English would be an asset.
  • Knowledge of Human Resources practices and Employment Standards is required.
  • Knowledge of Human Rights Code and compensation practices is preferred.
  • Ability to take accountability for assigned work responsibilities and duties, tracking work through to completion to ensure HR department deadlines are met.
  • High level of integrity with a strong sense of confidentiality and privacy.
  • Ability to multi-task under competing deadlines using effective organizational skills and time management techniques is essential. Strong interpersonal skills and adaptability to changing priorities.
  • Ability to handle interviews, meetings, and interactions over the phone and in person with employees at all levels of seniority in the Company.
  • Demonstrated client service experience.
  • Strong written communication skills and attention to detail.
  • Ability to work with various departments and foster teamwork inside and outside the HR department.
  • Demonstrated resourcefulness and initiative in dealing with daily assumptions or when working in ambiguous situations.
  • Ability to identify employee relations issues or trends that should be elevated to the appropriate Human Resources Manager.
  • Proficient Microsoft Office knowledge, including Word, Excel, Outlook, Teams, and PowerPoint.
  • Ability to deliver presentations in front of small to medium size groups.
