JOB SUMMARY
ECARPETGALLERY is currently seeking an Executive Assistant for our Business Development Executive. This position will be responsible for providing a high level of support to the Business Development Executive, while maintaining company-wide best practices in responding to internal and external inquiries, developing and maintaining excellent relations with all employees, clients and other stakeholders. In addition, this position will play a key role in the growth of the commercial flooring division (DBA: Solix) through organizing quotes, installations and addressing any inquiries.
RESPONSIBILITIES
- Independently provide high-quality support that anticipates the needs of the Business Development Executive
- Controlling and processing purchase orders and ensuring accurate and timely order fulfillment
- Ensuring effective communication between on-site team and facility
- Collaborating with internal teams such as logistics, warehouse and finance to coordinate product delivery and invoicing
- Screen, write and coordinate the Business Development Executive’s inbound and outbound communications and act as his primary contact
- Attend and prepare client meetings and take meeting notes
- Act as a trusted support person and coordinate all activities required to meet the demands of ongoing priorities, including agenda management.
- Recognize gaps, difficult processes, or blockers and work proactively to implement improvements.
QUALIFICATIONS
- 2-5 years of prior experience in an executive administrative or other related role (experience should include entering and processing purchase orders and ERP experience)
- Proficient in Word, Excel and Outlook
- Networking skills and a strong sense of tact and diplomacy while ensuring quality service delivery
- Sound judgement and decision-making capabilities
- Strong business acumen and ability to work in a fast-paced, multi-tasking environment.
- Perfectly bilingual, orally and writing
