Reporting directly to the President of ZIM Canada, the Executive Assistant provides comprehensive operational, analytical, and administrative support to the President as well as other members of the Canada Executive Team.

The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the President.

He or she performs the role of liaison to various internal and external stakeholders and organizes and coordinates executive outreach in addition to overseeing special projects.

The EA will also create or help prepare executive presentations, as well as critically analyze and draw actionable conclusions to data provided in support of their role assisting the President and Executive Team.

This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

**Areas of Responsibility**

Administrative Support to the President of ZIM Canada
- Controls and communicates with all parties in regard to the President’s calendar for meetings and events.
- Researches and plans all aspects of travel for the President, including all related details regarding schedules, visas, travel, hotels, meeting venues, transportation, etc.
- Interact with contacts from other ZIM offices, including Israel head office.
- Managing cross-organizational issues, working with different interfaces both local and global.

Data Preparation, Reporting, Analysis, Insight

- Data collection and reporting for various metrics or KPI’s.
- Evaluation of both internal and external sets of business data for preparation of business analysis reports.
- Provide actionable insights to various data.
- Participate in special projects as they arise, including audits, continuous improvement projects, employee engagement committee, etc.

Executive Presentation
- Prepares and creates MS Powerpoint presentations, or other key deliverables in support of President’s duties.
- Monitor / Manage key reports, presentations, or other deliverables from other Executives as directed by President.
- Drafts reports, letters, and other communication.

Coordinator for the Leadership Team
- Assist with annual Budget preparation from ET members
- Review accuracy and coordinate updates as per the President requests.
- schedule key meetings for executives.

**Requirements**:

- 3+ years Executive Assistant experience or equivalent years of university experience
- Knowledge of the Maritime transportation industry
- Bachelor's in business or economics
- Track record of being able to execute on assigned goals
- Expertise with Office suite software, such as Word, Excel, Powerpoint, and Outlook
- Expertise with managing projects and deadlines
- Ability to collect, synthesize, and summarize relevant sets of data
- Able to prioritize multiple critical deadlines and projects at once
- Proven experience successfully partnering with others from different cultural backgrounds
- Proactive orientation; solves problems before they arise
- Ability to keep information confidential at all times
